How we make this list: we compare pricing pages, product documentation and public user reviews. Rankite is independent; if a vendor ever pays for a featured spot, that listing is clearly labeled Partner.
Key takeaways
- If you already run a CRM, its reporting is usually the cheapest answer: HubSpot's free CRM covers 2 users, and Salesforce's Starter Suite starts at $25 per user per month.
- SaaS companies measuring MRR and churn should look at Baremetrics (from $75/month) or ChartMogul (free up to $10K MRR) before building reports by hand.
- Databox ($99/month Agency plan) is the best aggregator: one dashboard pulling metrics from dozens of sources without code.
- Conversation intelligence (Gong) and revenue analytics (InsightSquared) answer different questions: know whether you need "what happened in the call" or "what the pipeline will do next."
The best sales reporting software
Most teams pick a reporting tool for the wrong reason: they want prettier charts. The real job is answering three questions every week. What did we close? What will we close next? And where is the pipeline leaking? The nine tools below split into three families that answer different versions of those questions: CRM-native reporting, SaaS metrics platforms, and dashboard aggregators, plus the conversation intelligence layer that feeds them all.
#1
HubSpot Sales Hub
Best for: Small sales teams that want CRM and reporting in one free-to-start package
Visit hubspot.com
Starting priceFree (up to 2 users); Starter from $15 per seat per month
Free planYes
HubSpot's reporting wins on a simple argument: the data is already there. Because the CRM, the pipeline and the reports are one product, deal reports, activity reports and sales dashboards need no integration work. The free tier covers two users with genuinely useful reporting; Starter at $15 per seat per month monthly ($9 annually) adds more. Pro and Enterprise add custom report builders, forecasting and team-level analytics, plus mandatory onboarding fees.
The honest catch is the tier ladder. Out-of-the-box reports are fine for small teams, but the custom report builder and forecasting that larger teams need sit on Pro at $90 to $100 per seat per month. If your reporting needs are basic and your CRM is HubSpot, stay on the lower tiers and export to a spreadsheet for the rest. If you need forecasting, price the Pro tier for the whole team, not just the managers.
What we like- Free CRM for 2 users with real reporting included
- Reporting lives on the same data as the pipeline, so nothing needs syncing
- Deep marketing and service integration as you grow
Watch out for- Serious reporting depth (custom reports, forecasting) is gated to Pro ($90 to $100 per seat) and Enterprise ($150 per seat)
- Onboarding fees ($1,500 to $3,500) on those tiers
#2
Salesforce Sales Cloud
Best for: Mid-size and larger teams that need deep, customizable pipeline reporting
Visit salesforce.com
Starting price$25 per user per month (Starter Suite); Free Suite $0
Free planYes (Free Suite)
Salesforce reports are the benchmark everything else is measured against, because the object model underneath is deeper than any competitor's. Starter Suite at $25 per user per month covers the basics; Pro Suite ($100) adds the real reporting; Core ($195) and above add Einstein AI forecasting, territory management and the full analytics stack. A Free Suite at $0 exists for very small teams. The AppExchange adds another 3,000-plus extensions.
The catch is total cost of ownership. List prices climb from $25 to $550 per user per month across the five suites, and the reporting power you are buying needs an admin to configure. Small teams routinely overbuy Salesforce for reporting they could get from HubSpot or Pipedrive. Buy Salesforce reporting when your pipeline process is genuinely complex: multiple product lines, territories, or forecasting models that change by segment.
What we like- The deepest native reporting in any CRM, with custom report types and joined reports
- Einstein AI scoring and forecasting on higher tiers
- 3,000-plus AppExchange apps extend it further
Watch out for- Pricing climbs fast: Core $195, Advanced $395, Max $550 per user per month
- The power comes with real admin overhead
#3
Pipedrive
Best for: Small sales teams that want clear pipeline reporting without CRM complexity
Visit pipedrive.com
Starting price$14 per seat per month (Lite, billed annually)
Free planNo (14-day free trial)
Pipedrive's pitch is focus: it is a sales pipeline tool first, and its reporting reflects that. Deal reports, revenue forecasts, activity reports and goal dashboards come in a visual format reps actually read. Pricing is simple: Lite at $14 per seat per month annually, Growth at $39, Premium at $59 and Ultimate at $79. A 14-day trial covers all tiers.
The reporting ceiling is lower than the enterprise CRMs. Custom fields and custom reports exist but the depth does not match Salesforce or HubSpot Pro, and AI insights need the top tiers. For teams under 20 reps that sell a straightforward product, that ceiling is fine: the reports answer the weekly questions without an admin. When forecasting gets complicated, teams usually graduate to HubSpot or Salesforce.
What we like- Pipeline-first design makes deal reports intuitive for reps
- Visual dashboards and goal tracking built in
- Straightforward pricing from $14 (Lite) to $79 (Ultimate) per seat
Watch out for- Advanced reporting and AI features sit on Premium ($59) and Ultimate ($79)
- Shallower customization than Salesforce or HubSpot Pro
#4
Databox
Best for: Teams that want one dashboard pulling sales metrics from many tools
Visit databox.com
Starting priceFree (1 user, 3 data sources); Agency plans from $99 per month
Free planYes
Databox solves the tab problem: your pipeline lives in the CRM, your ad spend in Google Ads, your targets in a spreadsheet, and nobody opens all three. Connect the sources and build dashboards that update themselves. The free plan (one user, three sources) is genuinely useful for a small team. Agency plans start at $99 per month; Team Core is $249 and Scale $399 per month. The Analyst tier exists but the vendor does not publish its price.
Know what Databox is and is not. It is an aggregator and visualizer, not a sales analytics engine: it will not score your pipeline or forecast your quarter the way InsightSquared does. But for the weekly sales meeting, one live dashboard beats five screenshots. The price math works when you count the hours your ops person currently spends building reports by hand.
What we like- 100-plus native integrations, so Salesforce, HubSpot, Google Sheets and ad platforms feed one dashboard
- Real free plan (1 user, 3 sources)
- Scorecards and mobile alerts keep metrics visible
Watch out for- Paid plans jump fast: Team Core $249 per month, Scale $399 per month
- It visualizes data rather than creating pipeline insight
#5
Baremetrics
Best for: Subscription businesses that need MRR, churn and LTV reporting without building it
Visit baremetrics.com
Starting priceFrom $75 per month (Launch, up to $360K ARR)
Free planNo (free trial available)
Baremetrics exists for one metric family: subscription revenue. Connect your Stripe (or other billing) account and it computes MRR, churn, lifetime value, trial conversion, cohort retention and the rest, correctly, without your team defining formulas in a spreadsheet. Pricing starts at $75 per month on Launch (up to $360K ARR), then $255 per month on Growth ($360K to $3.6M ARR) and $1,152 per month on Scale above that. A free trial is available.
The tradeoff is scope. Baremetrics reports what your billing system knows: revenue, churn, expansion. It does not know your pipeline, your reps or your calls. SaaS companies pair it with a CRM's pipeline reporting to cover both halves of the funnel. If you sell subscriptions and still compute MRR in a spreadsheet, this is the fastest fix on the list.
What we like- Purpose-built SaaS metrics: MRR, churn, LTV, cohort and trial conversion out of the box
- Pricing scales with your revenue, not your headcount
- Clean dashboards founders actually understand
Watch out for- Useless outside subscription businesses
- Growth ($255/month) and Scale ($1,152/month) tiers get expensive as ARR climbs
#6
ChartMogul
Best for: SaaS companies that want subscription analytics plus CRM pipeline reporting
Visit chartmogul.com
Starting priceFree (up to $10K MRR); Starter from $57 per month (billed annually)
Free planYes
ChartMogul is Baremetrics' closest rival with a different pricing philosophy. The free plan covers up to $10K MRR, which takes most startups through their first year. Starter starts at $57 per month annually ($69 monthly) and Pro at $99 per month annually, scaling on MRR and features rather than the steep revenue ladders of Baremetrics. Enterprise starts at $19,900 per year. A 14-day trial is available.
The differentiator is the pipeline connection. ChartMogul integrates with Salesforce and HubSpot to join subscription metrics with CRM pipeline data, so you can see the path from lead to MRR in one place. Pure subscription analytics are slightly less deep than Baremetrics, but the combined view is more useful for teams where sales and finance share the numbers. Early-stage SaaS should start on the free tier and grow into it.
What we like- Free tier covers up to $10K MRR, generous for early startups
- Subscription metrics plus Salesforce/HubSpot pipeline integration
- Per-seat pricing is friendlier than revenue-based at scale
Watch out for- Subscription metrics are less polished than Baremetrics for pure-play SaaS
- Enterprise from $19,900 per year is a big jump
#7
Klipfolio
Best for: Operations teams that need custom KPI dashboards across the whole business
Visit klipfolio.com
Starting price$120 per month (Base, billed annually)
Free planNo (14-day free trial)
Klipfolio (Klips) is the dashboard builder for teams that outgrew templates. Connect your data sources, write formulas, and build exactly the sales report your leadership wants, alongside marketing and finance KPIs in the same view. Base starts at $120 per month annually ($140 monthly), Grow at $190 ($220), Team at $310 ($350) and Team+ at $600 ($690). A 14-day trial is available.
The price of flexibility is effort. Klipfolio does not know what a sales report should look like; you build it. Teams with a sales ops person love that control. Teams without one should buy a template-first tool like Databox instead. Choose Klipfolio when your reporting requirements are specific enough that no template fits, and you have someone to own the build.
What we like- True dashboard builder with hundreds of integrations and full formula control
- Per-dashboard pricing rather than per-seat
- Handles non-sales data (finance, marketing, support) in the same view
Watch out for- Building dashboards takes real effort: it is a builder, not a template
- $120 per month Base is a commitment for small teams
Starting priceSee website (no published prices)
Free planNo
InsightSquared answers the forward-looking question: not what did we close, but what will we close, and which deals are at risk. It layers pipeline analytics, forecasting models, activity capture and rep coaching dashboards on top of your CRM data. The product is built for sales leaders and RevOps teams who manage by the forecast.
The commercial reality is opacity: the site publishes no prices, so every comparison requires a sales call. Treat it as an add-on budget on top of your CRM spend, and benchmark it against Salesforce's own forecasting (Core and above) or HubSpot's Pro forecasting before buying a separate tool. It earns its place when your forecast accuracy is a real problem, not when your charts are merely ugly.
What we like- Purpose-built revenue intelligence: pipeline inspection, forecasting and activity analytics
- Connects to Salesforce, HubSpot and others
- Coaching and rep-level analytics included
Watch out for- No published pricing means entering a sales process to compare
- Works best as a layer on top of a CRM you already pay for
#9
Gong
Best for: Teams that want reporting on what actually happens in sales conversations
Visit gong.io
Starting priceSee website (custom quote)
Free planNo
Gong records, transcribes and analyzes sales calls, then reports on them: talk ratios, competitor mentions, pricing discussions, next-step commitments and deal risk signals. Managers get coaching dashboards; leaders get visibility into why deals stall. It integrates with Salesforce, HubSpot and the rest, feeding conversation data back into the CRM.
Gong does not replace pipeline reporting: it cannot tell you your coverage ratio or forecast the quarter. It tells you why the numbers look the way they do. Pricing is custom-quoted with no public figures, so budget for an enterprise sales process. Buy it when you suspect the problem is in the conversations, not the process: low win rates, stalled deals, inconsistent messaging across reps.
What we like- Conversation intelligence turns calls into searchable, reportable data
- Deal warnings surface risk from call patterns
- Strong coaching analytics for managers
Watch out for- Custom-quoted pricing with no public numbers
- It analyzes conversations, not pipeline math, so you still need CRM reporting

Start from the question, not the feature list. If the question is "what did each rep close and what is in the pipeline," your CRM's native reporting is the answer, and the choice is really between HubSpot, Salesforce and Pipedrive based on team size and budget. Adding a separate tool here just creates sync work.
If the question is "what is our MRR, churn and net retention," buy a subscription metrics tool. Baremetrics and ChartMogul both connect to your billing system and compute the numbers correctly; ChartMogul's free tier makes it the default start, and Baremetrics' cleaner dashboards appeal to finance-led teams. If the question is "one screen for the board meeting," Databox or Klipfolio aggregate everything: Databox for template speed, Klipfolio for custom builds.
The last two questions are the advanced ones. "What will we close next quarter" is forecasting, and the honest options are Salesforce or HubSpot's native forecasting, InsightSquared, or a spreadsheet model you trust. "Why are deals stalling" is conversation intelligence, which is Gong's territory. Most teams need the first two families before the last two earn their cost.
Why sales reports lie (and how to fix it)
The dirty secret of sales reporting is that the underlying data is usually wrong. Reps log calls late, close dates slip without updates, and stages mean different things to different reps. No reporting tool fixes a broken process: it just renders the broken data beautifully. Before buying anything, audit the inputs: are close dates real, are stages defined, is activity logged within a day.
The second lie is the forecast built on hope. A pipeline report that weights every stage equally produces a fantasy number. The fix is stage-based probabilities calibrated against your actual win rates, reviewed weekly. The third lie is vanity aggregation: total pipeline looks healthy while the bottom of the funnel is empty. Segment reports by stage, by rep and by segment, and the leaks show up fast. Buy the tool after the process is honest; the tool cannot do that part for you.
How we chose
We started with the searches buyers run: sales reporting software, sales analytics tools, sales dashboard software. For each candidate we opened the vendor's own pricing page, checked what data the reporting is built on (native CRM, billing system, aggregated sources or call recordings), and compared fit for small versus large teams. Where the vendor published no prices we wrote "See website." We removed one candidate whose company merged and now redirects to a different brand.
Frequently asked questions
What is the difference between sales reporting and sales analytics?
Reporting describes what happened: closed deals, pipeline by stage, activity counts. Analytics tries to explain why and predict what happens next: win-rate patterns, forecast models, risk signals. CRM tools do reporting well; InsightSquared and Gong lean toward analytics.
Do I need a separate reporting tool if I have a CRM?
Usually not at first. HubSpot, Salesforce and Pipedrive all include real reporting, and most small teams never exhaust it. Buy a separate tool when you need to combine CRM data with other sources (Databox), measure subscriptions (Baremetrics, ChartMogul), or analyze calls (Gong).
How much should a small team budget for sales reporting?
From zero: HubSpot's free CRM and ChartMogul's free tier cover a startup's needs. Paid CRM reporting starts at $14 per seat per month (Pipedrive Lite) to $25 (Salesforce Starter). Aggregators run $99 to $249 per month. Quote-based tools (Gong, InsightSquared) are enterprise budgets.
What is the best sales reporting tool for SaaS companies?
ChartMogul or Baremetrics for subscription metrics, paired with your CRM's pipeline reporting. ChartMogul's free tier up to $10K MRR makes it the natural start; Baremetrics' dashboard polish appeals as you grow. Add Gong when call quality becomes the growth lever.
Can these tools replace my CRM?
No, with one partial exception. Databox, Klipfolio, Baremetrics and ChartMogul all report on data that originates elsewhere: a CRM, a billing system, call recordings. They are layers on top of systems of record, not replacements. InsightSquared and Gong are explicitly CRM add-ons.
