Best Retail Management Software in 2026: 9 Tools Compared

Key takeaways

  • Entry costs range from free to $99 per month: Square starts at $0, Shopify at $39 plus $89 per location for POS Pro, Epos Now at $84 plus $399 hardware, and Rain POS at $99 annual.
  • Lightspeed, Clover, Revel and Heartland Retail publish no usable prices on their own sites, so expect partner quotes and payment-processing bundles.
  • The cheapest software can become the most expensive choice once card processing fees, hardware and per-location charges are added up.
  • Inventory depth is the real differentiator: Lightspeed, Rain POS, Heartland Retail and Erply are built for stock complexity; Square and Shopify win on simplicity and omnichannel.

The nine retail platforms worth your shortlist

Here is the blunt version: most retailers do not have a software problem, they have a fee problem. The POS license is the smallest line item. Card processing takes two to three percent of every sale, hardware runs hundreds per counter, and per-location add-ons quietly double the bill. Compare the total cost of ownership, not the sticker price. These nine platforms cover the real market, from Square's genuinely free plan to quote-only enterprise systems.

#1

Square for Retail

Best for: New stores, pop-ups and small retailers that want to start at zero cost
Visit squareup.com
Starting priceFree plan; Plus plan is paid (30-day free trial)
Free planYes (free plan; 30-day trial of Plus)
Square for Retail homepage

Square is the retail POS most small stores start with, and many never leave. The free plan covers the POS app, item library, online site, invoicing and basic inventory, with processing fees as the only cost. Upgrade to Plus for advanced retail features: multi-location stock management, smart inventory alerts, purchase orders, vendor profiles and barcode label printing. After the 30-day Plus trial you can drop back to free without losing data, or pause the subscription entirely.

The tradeoff is transparency at the top end. Square's pricing page lists Free, Plus and Premium tiers but shows no dollar figure for Plus, and only stores processing over $250,000 a year get custom Premium pricing. Hardware is a separate purchase, from the $59 reader to the $899 Register. For a single store getting started, Square's free plan is the cheapest credible option in retail. For chains, compare the processing rate against Lightspeed or Heartland before committing.

What we like
  • A genuinely free plan with no locked-in contracts
  • Real-time inventory across locations and channels
  • AI tools for item descriptions and product photos
Watch out for
  • The Plus price is not published on the pricing page, which makes budgeting vague
  • Advanced inventory (multi-location stock, barcode labels, purchase orders) requires Plus
  • Processing fees are fixed by Square, so high-volume stores cannot negotiate much below Premium
#2

Shopify POS

Best for: Retailers whose online store matters as much as the physical register
Visit shopify.com
Starting price$39/mo (Basic plan, $29 annual) plus $89/mo per location for POS Pro
Free planYes (free trial, no credit card required)
Shopify POS homepage

Shopify POS only makes sense if the online store matters as much as the register. The pitch is unified commerce: the same product catalog, inventory counts, customer profiles and discounts work in the store, on the website, on social and in AI chats. Every Shopify plan includes basic in-person selling, and POS Pro ($89 per month per location) adds the advanced tooling brick-and-mortar retailers need: staff roles, smart inventory management, low-stock reports and unlimited registers.

The math needs care. A store on the $39 Basic plan with one location pays $128 a month before hardware and processing fees, and each additional location adds $89. That is fair for omnichannel retailers and expensive for a single store that barely sells online. But if you already run on Shopify, the POS is the obvious extension: no inventory sync project, no duplicate catalogs, one back office.

What we like
  • One catalog, one inventory pool and one customer record across online and in-store
  • POS Pro at $89 per location adds advanced retail features
  • 99.9% platform uptime
Watch out for
  • The real cost stacks fast: a Shopify plan plus $89 per location per month for POS Pro
  • Hardware is extra
  • Transaction fees apply unless you use Shopify Payments
#3

Lightspeed Retail

Best for: Inventory-heavy specialty retail: apparel, footwear, bike, garden, sporting goods
Visit lightspeedhq.com
Starting priceSee website (no prices published on pricing page)
Free planNo (no free tier confirmed)
Lightspeed Retail homepage

Lightspeed Retail is the inventory nerd's POS. Where Square gives you stock counts, Lightspeed gives you landed costs, order recommendations, forecasting, multi-location transfers and purchase-order sync with wholesale catalogs. The industry editions matter: a bike shop gets service orders and serialized inventory, an apparel store gets matrix inventory by size and color, a garden center gets advanced tracking built for the trade. Built-in eCommerce (basic tier included) keeps online and in-store stock in one pool.

The catch is the buying process. The pricing page describes three tiers without showing a single dollar figure, so every deal starts with a sales conversation. Lightspeed Payments runs 1.5% card-present on its own processing, which is competitive, but the software quote is a black box until you talk to them. For stores where inventory complexity is the daily pain, it is worth the call. For a simple boutique, it is more software than you need.

What we like
  • The deepest inventory tooling in this tier: landed costs, forecasting, purchase orders, NuORDER catalog sync
  • Industry-specific editions for apparel, footwear, bike, garden and more
  • Built-in basic eCommerce
Watch out for
  • No published prices at all
  • The feature depth means a real learning curve and usually onboarding help
  • Overkill for simple single-register shops
#4

Clover

Best for: Stores that want the hardware and software from one vendor
Visit clover.com
Starting priceSee website (pricing varies by partner and reseller)
Free planNo (no free trial confirmed)
Clover homepage

Clover's strength is not the software. It is the hardware lineup. Mini, Flex, Station Duo, Kiosk and the rest give retailers a real countertop ecosystem from one vendor, sold through more than 3,000 financial institution partners plus retailers like Sam's Club. The software covers retail essentials: inventory, employee management, loyalty, gift cards, online ordering integrations and reporting, with an app market for the rest.

The buying experience is the weakness. Because Clover sells through partners, the same system can cost very different amounts depending on who quotes it, and devices only work with Clover payment processing. Compare at least two partner quotes and read the processing terms carefully, because the monthly software fee, hardware cost (or lease) and processing rate are three separate negotiations wearing one brand. Buy Clover for the hardware ecosystem and local support, not for price clarity.

What we like
  • The widest hardware lineup in retail POS, from Mini to Station Duo to Kiosk
  • Sold and supported through banks and resellers with local service
  • Large app marketplace for add-ons
Watch out for
  • Pricing is genuinely fragmented: it depends on which partner sells it to you
  • Devices are locked to Clover processing
  • Software plans add monthly cost on top of hardware and processing
#5

Epos Now

Best for: Independents that want hardware and software bundled in one purchase
Visit eposnow.com
Starting price$84/mo plus $399 hardware (current US complete-solution offer)
Free planNo (no free trial confirmed; demo and callback sales)

Epos Now sells you the whole countertop in one box: $399 of hardware plus $84 a month for the current US complete-solution offer. The software covers retail essentials: inventory management, staff management, CRM, sales reporting and payment processing at one fixed card rate, with an app store for accounting, loyalty and the rest. Setup is pitched at minutes rather than days, and 24/7 support with one-on-one onboarding is part of the package.

The honest read is that Epos Now is a bundle business. The $399 hardware offer rotates through promotions ("lowest price ever" banners with countdown timers), so treat the sticker as a starting point and get the real quote. Monthly software covers one site comfortably; multi-site retailers should price the enterprise tier separately. For an independent shop that wants one invoice for everything on the counter, it is the simplest buy on this list.

What we like
  • One transparent bundle: terminal, printer and card machine with software included
  • Real-time reporting on staff, sales, margin and stock
  • Hundreds of app integrations including accounting
Watch out for
  • The headline offer is time-limited marketing, so the real price needs a quote
  • App integrations can add monthly fees
  • The bundled hardware model suits single sites better than chains
#6

Revel Systems

Best for: Multi-location chains and franchises needing enterprise-grade control
Visit revelsystems.com
Starting priceSee website (custom quote)
Free planNo (no free trial confirmed)
Revel Systems homepage

Revel is the iPad POS that grew up into an enterprise chain platform, now under Shift4. The pitch has always been chains: location-specific pricing and taxes, consolidated real-time reporting across stores, offline mode that keeps selling when the internet drops, and an API plus app marketplace for customization. Since Shift4's 2024 acquisition, revelsystems.com routes into Shift4's restaurant and retail solutions, with Revel POS positioned alongside SkyTab and Lighthouse Business Manager.

For a growing chain, the Shift4 backing is arguably good news: payments, POS and business management from one vendor with competitive processing. For a single independent store, Revel is the wrong weight class entirely, and the quote-only pricing will tell you so quickly. Shortlist it when you have five-plus locations and a central office that wants one dashboard.

What we like
  • Built for chains: multi-location management, real-time consolidated reporting, offline mode that syncs later
  • Now backed by Shift4's payment infrastructure and support
  • Open API and POS marketplace
Watch out for
  • Quote-only enterprise pricing with implementation costs
  • The Shift4 acquisition means the product roadmap now answers to a payments company
  • Overkill for single stores
#7

Rain POS

Best for: Craft, boutique and outdoor specialty retailers
Visit rainpos.com
Starting price$99/mo (Startup plan, billed annually)
Free planNo (no free trial confirmed; demo available)
Rain POS homepage

Rain POS only wants one kind of customer: the specialty retailer. Craft stores get material tracking by yard, ounce or piece, class sign-ups and workshop scheduling. Boutiques get style profiles, seasonal inventory and targeted campaigns. Outdoor shops get rental equipment tracking, repair workflows and guided-trip scheduling. The Startup plan at $99 a month (annual) includes native POS and website integration, integrated payments, unlimited users and products, and unlimited phone and email support.

The pricing page hides Core and Plus prices, so multi-location or serialized-inventory needs go through sales. And the niche focus cuts both ways: if you run a quilt shop, bike rental or music store, Rain speaks your language out of the box. If you run a general convenience store, the specialty features are dead weight and the app ecosystem is thinner than the big platforms.

What we like
  • Published pricing starting at $99 a month with unlimited users and products
  • Native website and POS integration built for specialty retail
  • Niche features like class scheduling, rentals, repairs and serialized inventory on higher tiers
Watch out for
  • Core and Plus plan prices are not published
  • The specialty focus means general retailers may find gaps
  • Smaller ecosystem than Square or Shopify
#8

Heartland Retail

Best for: Apparel, footwear and multi-store retailers with complex inventory
Visit heartlandretail.us
Starting priceSee website (no published pricing confirmed)
Free planNo (no free trial confirmed)
Heartland Retail homepage

Heartland Retail (formerly Springboard) is the quiet workhorse for apparel and footwear stores. It handles the unglamorous middle of retail management: matrix inventory by size and color, purchase orders, vendor management, customer accounts, loyalty programs, gift cards and multi-location stock control, with eCommerce connections to Shopify, WooCommerce and BigCommerce. The API and integrations list is solid for a mid-market platform.

The buying process is old-school enterprise retail software: no public prices, demos and quotes through sales. Third-party directories float a $79-a-month figure, but Heartland publishes nothing to confirm it, so we list it as quote-only. If you run several apparel or shoe stores and want centralized inventory without an enterprise price tag, Heartland Retail deserves a demo alongside Lightspeed. If you want to sign up tonight, it is not that kind of product.

What we like
  • Built for retail complexity: matrix inventory, purchase orders, customer profiles, loyalty and gift cards
  • Multi-location management with centralized control
  • ECommerce integrations including Shopify and WooCommerce
Watch out for
  • No published pricing
  • Sold through the Heartland sales organization, so expect a consultative (slow) purchase
  • Smaller brand recognition than the top-tier names
#9

Erply

Best for: Multi-store retailers and franchises that need enterprise features cheaply
Visit erply.com
Starting price$59/mo (per vendor site)
Free planYes (free account to explore the platform)
Erply homepage

Erply is the Estonian-built cloud platform that punches above its price for multi-store retailers. One account covers POS with offline mode, inventory and warehouse management, purchase orders, ecommerce order sync, retail CRM with loyalty, reporting and an open API, plus a low-code app builder for custom workflows. Data hosting options span the US, Canada, EU, Australia and Africa. You can create a free account and explore on your own, which almost nobody else on this list allows.

The tradeoffs are polish and clarity. The interface feels a generation behind the newest POS apps, and the vendor site's pricing detail is sparse beyond the headline figure. But for a retailer running several stores or a small franchise that needs real back-office depth without Lightspeed-level quotes, Erply's value proposition is hard to ignore. Test-drive the free account before you believe the feature list.

What we like
  • A free account lets you explore before any sales call
  • The rare mix of POS, inventory, warehouse management, CRM, ecommerce and API at this price
  • Offline POS and multi-region data hosting
Watch out for
  • The $59 figure is thin on plan detail
  • The interface shows its age next to Square and Shopify
  • Support quality varies by region

Frequently asked questions

How much does retail management software cost?

Entry prices run from $0 (Square's free plan) to $99 a month (Rain POS Startup annual). Shopify starts at $39 a month plus $89 per location for POS Pro. Epos Now bundles at $84 a month plus $399 hardware. Lightspeed, Clover, Revel and Heartland Retail are quote-only. Always add card processing (around 1.5 to 2.9% plus cents per transaction), hardware and per-location fees to get the real number.

What is the difference between a POS system and retail management software?

A POS system is the checkout: ringing sales, taking payments, printing receipts. Retail management software is the wider operation: inventory, purchasing, vendors, staff, customers, loyalty and reporting across locations. Modern platforms bundle both, but inventory depth and multi-location management are what separate real retail software from a payment app with a cash drawer.

Which retail POS is best for a small boutique?

Square for Retail (free plan) and Shopify POS are the usual answers. Square wins on zero startup cost and simplicity. Shopify wins if you also sell online, since one catalog serves the store and the website. Rain POS at $99 a month is worth a look for boutiques that run classes, rentals or seasonal inventory.

Do I need separate payment processing?

Most platforms bundle or require their own processing: Square, Shopify Payments, Lightspeed Payments and Shift4 (for Revel) all process in-house with published card-present rates. Clover devices only work with Clover processing. Bundled processing simplifies setup but removes your ability to negotiate rates separately, so high-volume stores should compare the effective rate, not just the software price.

Can retail management software handle multiple locations?

Yes, but the pricing model matters. Square Plus adds multi-location stock management. Shopify charges $89 per location per month for POS Pro. Lightspeed, Revel, Heartland Retail and Erply are built for multi-location from the ground up, with centralized inventory and consolidated reporting. Rain POS reserves multi-location for its Core tier and up.

Is a free retail POS really free?

Square's free plan is genuinely free software: you pay only card processing fees. Erply lets you explore on a free account. But "free" never includes hardware, and every platform takes its cut on payments. The free plan is the right way to test-drive, not a way to avoid the economics of card processing.

Payment processing: the fee you forgot to compare

Software licenses are the visible price. Processing is the real one. A store doing $500,000 a year in card sales pays roughly $7,500 to $15,000 a year in processing fees, which dwarfs a $99-a-month software subscription. Lightspeed publishes 1.5% card-present on its own processing. Shopify charges 2.6% plus 10 cents in person on the Basic plan. Square's rates are bundled into its plans with custom pricing only above $250,000 a year in volume.

This is why bundled processing cuts both ways. One vendor, one throat to choke, one statement. But you lose the ability to shop your processing separately, and Clover hardware locks you in entirely. Before signing, compute the blended effective rate (total fees divided by total card volume) on your last twelve months of statements, then ask each vendor to beat it in writing. The software demo is theater; the rate sheet is the negotiation.

Hardware: the second invoice nobody budgets

Every platform on this list except the software-only ones expects you to buy hardware, and the countertop adds up fast. Square lists its own lineup: $59 for a reader, $149 for the Stand, $299 for the Terminal, $399 for the T3 device, $899 for the Register, before printers, scanners, cash drawers and label printers. Epos Now bundles terminal, printer and card machine for $399 in its current offer. Clover, Lightspeed, Revel and Heartland all sell or certify their own hardware ecosystems.

Budget $500 to $2,000 per checkout lane for a basic setup, more for kiosks or kitchen displays. Ask three questions before buying: does the hardware work if you switch software later (usually no), what breaks first (printers and scanners), and what the warranty and swap policy is. Refurbished or partner-supplied hardware can cut the bill, but verify compatibility in writing. The software decision gets the attention; the hardware invoice gets the budget.

How we chose

We started with the searches retailers actually run: retail management software, retail POS system, best POS for small business. For each candidate we opened the vendor's own site and pricing page, checked plan structures against public reviews on G2 and Capterra and retailer discussion on Reddit, and compared inventory depth, multi-location management, ecommerce integration, hardware ecosystems, processing terms and fit for different store types. Where the vendor publishes no price we wrote "See website" instead of repeating third-party estimates.
