How we make this list: we compare pricing pages, product documentation and public user reviews. Rankite is independent; if a vendor ever pays for a featured spot, that listing is clearly labeled Partner.
Key takeaways
- iCapture, now part of Cvent, is the best fit for teams that exhibit at many different shows and want one consistent capture app instead of relearning the organizer's tool at every event.
- If the organizer runs the show on Swapcard, vFairs, Bizzabo, Whova, ExpoPass or EventMobi, the built-in lead retrieval is usually the path of least resistance, and it comes with registration data the standalone apps cannot see.
- None of these vendors publish straightforward pricing; expect quote-based deals, per-event fees or per-exhibitor licenses, and get the full fee schedule before budgeting.
- Organizers sell lead retrieval as exhibitor revenue, while exhibitors increasingly scan with their own phones.

The best lead retrieval software
#1
iCapture
Best for: Teams exhibiting at many shows with one consistent app
Visit icapture.com
Starting priceSee website (quote-based)
Free planNo
iCapture's promise is simple: your booth staff should not learn a new scanner at every trade show. It is a universal lead capture app with badge scanning, business card capture, custom qualifying surveys and integrations into Salesforce, HubSpot and Marketo. For companies exhibiting at ten or twenty shows a year, that consistency is worth more than any single feature.
In January 2024 Cvent acquired iCapture, and it now operates as part of the Cvent family. The product and the icapture.com site remain live, and Cvent positions it as the universal capture layer alongside its own native onsite tools. Buyers should understand the relationship: iCapture is the bring-your-own-app option, while Cvent LeadCapture below is the native option for organizers already running Cvent.
The honest catch is pricing opacity. Third-party directories float numbers like $79 per user per month, but Cvent's own iCapture pages present a contact form rather than a price list, so treat third-party figures as rumors and get a written quote. iCapture fits exhibitors; event organizers choosing a platform usually pick one of the all-in-one tools below.
What we like- One app your team learns once and uses at every show
- Deep CRM integrations including Salesforce and HubSpot
- Custom qualifying questions per event
Watch out for- No public pricing, everything goes through sales
- Acquired by Cvent in 2024, so long-term product direction sits with Cvent
#2
Swapcard
Best for: Lead capture inside a full event platform with AI matchmaking
Visit swapcard.com
Starting priceSee website (quote-based)
Free planNo
Swapcard is an event platform first and a lead retrieval tool second, and that ordering is its advantage. Exhibitors scan badges and business cards offline in the event app, add notes and qualifiers, and leads sync to the CRM with AI scoring attached. Because the scan happens inside the same system as registration, the lead arrives with context that standalone scanners cannot match.
For organizers, Swapcard turns lead retrieval into revenue: exhibitors buy licenses inside their own portal, with the organizer controlling pricing per tier. AI matchmaking that connects attendees with relevant exhibitors gives sponsors a reason to buy the full package rather than just the scanner.
The downside is the usual enterprise trade-off. Pricing is quote-based, and the numbers third parties cite range widely by event size. Teams that only need to scan badges at someone else's show will find Swapcard heavier than necessary. It shines when the organizer standardizes the whole event on it.
What we like- Offline badge and card scanning with AI lead scoring
- Instant CRM sync through 100+ integrations
- Lead capture doubles as an organizer revenue line
Watch out for- Quote-based pricing with no public tiers
- Full platform is more than a pure scanner, which can be overkill for simple needs
#3
ExpoPass
Best for: Organizers wanting registration, badging and retrieval from one vendor
Visit expopass.com
Starting priceSee website (quote-based)
Free planNo
ExpoPass takes the all-in-one argument to its logical end: registration, badge printing, check-in and lead retrieval all run in one system from one vendor. Exhibitors scan attendee badges with the Expo Pass mobile app on their own devices, no scanner rentals, no separate logins. Because everything shares one database, late registrations and badge changes update in real time, and there are no duplicate uploads to reconcile after the show.
The product details show care for the exhibitor experience: custom qualifier fields, notes and ratings per lead, CSV export, and lead reports sent directly from the app. Organizers get live dashboards of booth activity and can sell lead retrieval as a premium exhibitor upgrade, with revenue flowing directly to them.
Pricing is the weak spot for comparison shoppers. ExpoPass does not publish lead retrieval pricing, and third-party directories list platform pricing that may not reflect your event. US-based teams running mid-size trade shows and conferences are the natural audience; get the per-exhibitor economics in writing.
What we like- Lead retrieval built into the same app as registration and badge printing
- Exhibitors scan with their own phones, no hardware rentals
- Organizers can monetize lead capture per tier
Watch out for- No published pricing for the lead retrieval piece
- US-focused with English-only support
#4
vFairs
Best for: AI-enriched lead capture with instant CRM sync
Visit vfairs.com
Starting priceSee website (quote-based)
Free planNo
vFairs differentiates its lead capture app with AI enrichment: scan a badge and the system fills in job title, company size and industry automatically, so booth staff spend the conversation talking instead of typing. Exhibitors can capture via badge QR scan, business card photo or manual entry, qualify with custom forms, and sync everything to the CRM without CSV wrangling.
Sponsors get their own portal to set up booths, invite reps, cap seats by tier and configure qualifiers without the organizer's team in the loop. Post-event dashboards show booth visits, lead counts and engagement, helping organizers sell renewals with data instead of anecdotes.
vFairs was named a Leader in Gartner's event technology evaluations, which matters to enterprise buyers who need analyst cover. The catch, as with most of this list, is pricing: quotes are customized per event. vFairs fits organizers running large or hybrid events who want lead capture as part of a managed platform, not a side purchase.
What we like- AI enrichment auto-fills job title, company size and industry
- Three capture methods (badge QR, business card, manual)
- Exhibitor self-service portal with team management
Watch out for- Quote-only pricing
- Platform breadth means a longer evaluation than point solutions
Starting priceSee website (quote-based)
Free planNo
Bizzabo's answer to lead retrieval is to remove the scanning step entirely. Its Klik SmartBadge is a wearable badge that captures contact details when two people tap to connect, and passively records engagement data like booth visits and session attendance. For sponsors at high-traffic conferences, that means leads from conversations the booth team never had to interrupt for a scan.
Lead data lands in a sponsor portal with qualification responses and notes, exportable as CSV or synced to the CRM. Because Bizzabo runs the whole event, each lead carries engagement context: sessions joined, booths visited, time spent. That context turns a badge scan into a prioritized follow-up list.
The trade-offs are cost and complexity. Smart badges are physical hardware to ship, distribute and collect, and the platform is priced and sold for mid-market and enterprise event programs. A ten-person team doing two regional shows a year should look at Whova or ExpoPass instead.
What we like- Klik SmartBadge tap-to-connect capture needs no active scanning
- Engagement data (booth visits, dwell time) flows with the lead
- Strong enterprise security and governance
Watch out for- Smart badges add hardware logistics and cost
- Enterprise positioning makes it a poor fit for small one-off events
#6
Whova
Best for: Affordable all-in-one event app with lead retrieval
Visit whova.com
Starting priceSee website (quote-based)
Free planNo
Whova is the value pick among all-in-one platforms. Its event app covers agendas, networking and badge printing, and lead retrieval lets any booth staffer scan QR codes, add notes, score leads with custom qualifiers and export the list. No separate scanner app, no extra hardware.
The Exhibitor Hub adds tools that help organizers sell the package: passport contests that drive booth traffic, in-app giveaways, and exhibitor profiles. Because attendees already have the Whova app for the agenda, adoption friction for lead scanning is low, which is half the battle with any event technology.
Whova does not publish pricing, but its market position is firmly mid-market and below, and organizers consistently describe it as cost-effective next to Cvent and Bizzabo. The honest limitations are lighter analytics and less customization than the enterprise tier. For conferences and trade shows that need a capable event app with lead retrieval included, it is the first quote to get.
What we like- Lead retrieval bundled into an affordable event platform
- Exhibitors scan QR codes with the same app attendees use
- Strong user ratings for ease of use
Watch out for- Pricing still requires a quote
- Analytics and customization trail the enterprise platforms
#7
EventMobi
Best for: Organizers protecting lead revenue with registration-linked data
Visit eventmobi.com
Starting priceSee website (quote-based)
Free planNo
EventMobi has picked a side in the fight over who owns lead data. In September 2026 it expanded its export so any registration field, country, job title, session attendance, auto-populates the exhibitor's file. The pitch to organizers: standalone scanner apps bypass your platform and its sponsorship revenue, while EventMobi keeps the data and the money inside.
For exhibitors, the practical benefit is real too. Booth staff scan physical or digital badges in the app, answer custom qualifying questions, add star ratings and notes, and the exported lead arrives enriched with registration data they would otherwise have to ask for. Exhibitor admins self-manage staff access through the portal, so the organizer is not doing user admin on show day.
EventMobi is based in Toronto and has a long track record in event apps. Pricing is quote-based. It fits organizers who view lead retrieval as both an exhibitor service and a revenue line, and who want the registration system and the scanner to be one thing.
What we like- Exports include registration-linked fields (job title, country, session attendance)
- Exhibitors self-manage staff access through the portal
- Actively developed, with new export features in 2026
Watch out for- Quote-based pricing
- Organizer-centric model means less for pure exhibitor teams
#8
Cvent LeadCapture
Best for: Cvent customers adding native onsite lead capture
Visit cvent.com
Starting priceSee website (quote-based)
Free planNo
Cvent LeadCapture is the native onsite solution for organizers already running Cvent, and it should not be confused with iCapture, the universal app Cvent acquired in 2024. LeadCapture is the organizer's tool: part of Cvent's onsite suite, it lets exhibitors scan badges and qualify leads with data flowing straight into the Cvent environment the organizer already uses for registration, the event app and reporting.
The advantage is consolidation. One vendor, one contract, one support line, and lead data that never leaves the platform. For enterprise event teams standardized on Cvent, adding LeadCapture is usually simpler than vetting a separate vendor, and the security and compliance posture matches what procurement already approved.
The limitation is the mirror image. If your company exhibits at shows run on other platforms, Cvent LeadCapture does nothing for you; that is the job iCapture was bought to do. Pricing is custom and enterprise-shaped. Cvent shops should ask how LeadCapture and iCapture are positioned for their specific mix of hosted and attended events before signing.
What we like- Native to the Cvent platform, so lead data flows into the same system as registration
- No third-party vendor to manage
- Enterprise-grade security and support
Watch out for- Only compelling inside a Cvent deployment
- Pricing is custom enterprise quoting
The organizer vs. exhibitor split: who actually pays
Lead retrieval has two buyers, and they want different things. Event organizers buy lead retrieval to sell to exhibitors: it is a revenue line, often priced per exhibitor or bundled into sponsorship tiers. The classic model is the organizer renting handheld scanners at $500-plus per unit per show. Exhibitors buy lead retrieval to avoid relearning the organizer's system at every event and to get leads into their own CRM fast.
That tension explains the current market. Organizer platforms like Swapcard, ExpoPass, vFairs and EventMobi keep data inside the event system and let organizers monetize it. Universal apps like iCapture let exhibitors carry one workflow across shows. Third-party AI scanner apps let exhibitors bypass the organizer entirely, which is why EventMobi spent 2026 building registration-linked exports: the data only the organizer has is its moat. Be clear which side you are on before buying, because the right product for an organizer is rarely right for an exhibitor.
How we chose
We did not run booths to test these apps. We reviewed each vendor's current product and pricing pages, confirmed every product is live today, read public reviews on G2, Capterra and event industry publications, and compared features against the two buyer types: exhibitors capturing leads and organizers selling lead retrieval. This is a quote-driven market, so where vendors do not publish pricing we say so instead of repeating third-party guesses. Where products changed hands, Cvent acquiring iCapture in 2024, we used the current ownership.
Badge compatibility
Ask what the app actually scans: QR codes, NFC, magnetic stripes, or just business card photos. Organizer platforms scan their own badges natively. Universal apps handle more formats but may miss registration-linked data. Confirm with the specific shows you attend.
Offline capability
Show floors are where Wi-Fi goes to die. Confirm the app captures and stores scans offline and syncs later. Swapcard, ExpoPass and vFairs all advertise offline capture; verify it in a trial rather than trusting the brochure.
Qualification workflow
A scan without context is a cold name. Check whether you can add custom qualifying questions, notes, ratings and tags at the moment of capture, and whether every booth rep sees the same questions. This is where iCapture's per-event customization and vFairs' custom forms earn their keep.
CRM delivery
Ask how leads reach your CRM: native integration, CSV export, or manual upload. Native Salesforce and HubSpot integrations are standard on the serious tools. Also ask how fast: real-time sync beats an end-of-day export when your SDR team works the show.
Who owns the data
If the organizer provides the scanner, the organizer typically controls the data feed and may charge for it. If you bring your own app, confirm the show allows it and that badge barcodes are readable. This is the dispute EventMobi's 2026 export features were built to address.
Frequently asked questions
What is lead retrieval software?
Software that lets exhibitors capture attendee contact information at trade shows, usually by scanning badges with a phone app, then qualify and export those leads. It is different from sales prospecting software: it works with the people physically at the event.
How much does lead retrieval software cost?
Almost no vendor publishes pricing. Old-school scanner rentals ran several hundred dollars per device per show. Modern app tools are priced per event, per exhibitor, or per user per month through custom quotes. Get fee schedules from two or three vendors before committing.
Do I need the organizer's permission to use my own lead capture app?
Often yes in practice. The organizer controls badge formats and registration data, and some shows restrict third-party scanners to protect their lead retrieval revenue. Check the exhibitor agreement before the show, and confirm your app can read the show's badge format.
Can my team use their own phones, or do we need to rent scanners?
Own phones, in nearly all cases now. Every tool on this list works on standard iOS and Android devices. Rented handheld scanners still exist at large shows, but they are a legacy option: more expensive, single-purpose, and one more thing to lose.
How do leads get into our CRM?
The better tools sync natively: iCapture, Swapcard, vFairs and Bizzabo all offer direct Salesforce and HubSpot integrations. The rest export CSV files you import yourself. Either way, confirm the field mapping before the show, because a lead with no qualifier data is barely better than a business card.
