Best Bakery Management Software in 2026: 8 Tools Compared

Key takeaways

  • Wholesale bakeries doing real production volume should shortlist FlexiBake ($295/month) and Cybake (custom quote): both are bakery ERPs with recipe costing, lot tracking and production planning, not just registers.
  • Retail bakeries that need orders, production and POS in one place get the most complete package from BakeSmart ($99/month per location), with eCommerce and wholesale as paid modules.
  • Home-based cake decorators do not need a $300/month ERP: CakeBoss costs $149 for the first year and $36 per year after, and covers recipe costing, orders and customers.
  • Craftybase, now rebranded as Stocksmith ($24/month), is the cheapest credible way for small-batch bakers to get true cost-per-unit and COGS tracking.
  • Toast, Square and Lightspeed are POS systems first: fine for the front counter, but production planning and recipe costing need their add-ons or a separate tool.

The best bakery management software

It is 4 a.m., the ovens are hot, and the production sheet on the clipboard does not match the wholesale orders that came in overnight by email. Someone has to reconcile the two before the first bake, and that someone is usually the owner. Bakery management software exists to end that morning scramble: one system for recipes, ingredient inventory, orders, production plans and costing, so the numbers agree before the flour hits the bowl.

The eight tools below split into two camps. FlexiBake, BakeSmart, Cybake, CakeBoss and Craftybase are built for bakeries specifically, with recipe management and production at the core. Toast, Square and Lightspeed are point-of-sale platforms that bakeries commonly run at the counter. Which camp you need depends on whether your pain is in the back of the house or at the register.

#1

FlexiBake

Best for: Wholesale and mid-size bakeries that need full production ERP
Visit flexibake.com
Starting price$295/month USD (Base plan)
Free planNo (free demo available)
FlexiBake homepage

FlexiBake is the heavyweight option for bakeries that manufacture at scale. It handles recipe management with automatic daily costing updates, lot tracking for recalls and audits, production planning, purchasing, invoicing and a wholesale online ordering portal. The vendor's own pricing page lists Base at $295/month, Professional at $375/month and Corporate at $495/month, with Enterprise on a custom quote. That is ERP money, and it buys ERP depth: nutritional panels, label generation and delivery route management live in the same system.

The trade is cost and commitment. There is no self-serve trial on the pricing page, so you evaluate through a demo and an onboarding conversation. Small retail bakeries will find it more system than they need. But if you run routes, manage dozens of wholesale accounts or need traceability for food safety audits, FlexiBake is built exactly for that job.

What we like
  • Purpose-built bakery ERP with lot tracking, nutritional analysis and route management
  • Per-plan pricing with unlimited users implied by the model
  • Integrates with QuickBooks, Sage and Xero
Watch out for
  • Base plan at $295/month is the priciest entry point on this list
  • No published free trial, so evaluation runs through a demo
#2

BakeSmart

Best for: Retail bakeries that want ordering, production and POS unified
Visit bakesmart.com
Starting price$99/month per location (BakeSmart Platform)
Free planNo (no free trial advertised)
BakeSmart homepage

If FlexiBake is the wholesale ERP, BakeSmart is the retail bakery operating system. Every customer starts with the BakeSmart Platform at $99/month per location, covering order management, customer database, production reports, payment processing and multi-location support. Then you add modules: eCommerce for online ordering, a wholesale suite with a customer self-service portal, a POS module, a Cake Matrix for structured custom-cake pricing and order inquiry management for quotes.

The honest math is that the $99 base is a starting point. A bakery running online ordering plus wholesale plus POS pays for each module, and onboarding starts at a $499 one-time implementation fee. Still, the pricing is published on the vendor's own page, which is more than most bakery software vendors offer, and the module approach means a single-location shop is not subsidizing features built for chains.

What we like
  • Published modular pricing starting at $99/month per location with 24/7 US-based support
  • ECommerce, wholesale, POS and cake-specific tools as add-on modules
  • Purpose-built for retail bakery workflows
Watch out for
  • Modules add up, so the real monthly cost depends on which add-ons you need
  • $499 one-time implementation fee on top of the subscription
#3

Cybake

Best for: Retail and wholesale bakeries wanting cloud software with strong reporting
Visit cybake.com
Starting priceSee website (custom quote)
Free planNo (demo-based evaluation)
Cybake homepage

Cybake takes a deliberately simple commercial stance: one monthly subscription, unlimited users, no per-seat metering. The vendor argues on its own blog that per-user pricing punishes growing bakeries, and its model lets owners hand out logins to the whole team without watching the bill. Functionally it covers the full order-to-cash cycle for bakeries: orders, recipes with costing pulled from purchasing data, production reports, picking lists, waste control, deliveries, invoicing and a technical module for allergens and nutrition.

The catch is transparency. Cybake publishes no prices, so you cannot compare it against FlexiBake's $295 or BakeSmart's $99 without talking to sales. For buyers who like to shortlist on price before engaging vendors, that is friction. For bakeries that value unlimited users and a mature feature set, it is worth the call.

What we like
  • Cloud-native with no per-user fees, so adding staff logins costs nothing extra
  • Deep production reporting, waste control and allergen/nutrition module
  • Long track record with bakeries in the US, UK and Australia
Watch out for
  • No published pricing, so budgeting requires a sales conversation
  • The interface reflects its long history rather than a modern redesign
#4

CakeBoss

Best for: Home-based and small custom cake businesses on a budget
Visit cakeboss.com
Starting price$149 first year, then $36/year (CakeBoss Cloud)
Free planNo (30-day money-back guarantee)
CakeBoss homepage

CakeBoss is the outlier on price, and deliberately so. The first year costs $149 and every year after is $36, which works out to $3 per month. For that you get a cloud tool designed around the actual workflow of a custom cake business: customers, orders, recipes with costing, a calendar, mileage and expense tracking, sales tax reports and a built-in cake data sheet with serving sizes and buttercream quantities. The vendor backs it with a 30-day money-back guarantee.

Set expectations correctly. This is not a production ERP and it does not pretend to be one. There is no multi-location management, no lot tracking and no wholesale portal. What it does is give a home baker or small shop professional-grade recipe costing and order organization for less than the cost of a single month of the bigger systems. For its audience, that is exactly the right trade.

What we like
  • Extremely low ongoing cost at $3/month equivalent after year one
  • Built by cake decorators for cake decorators, with serving charts and fondant calculations
  • Runs in a browser with data on Microsoft Azure
Watch out for
  • Aimed at small custom-cake operations, not wholesale production
  • No accounting depth, so it pairs with rather than replaces bookkeeping software
#5

Craftybase (now Stocksmith)

Best for: Small-batch bakers who need true product costing and COGS
Visit craftybase.com
Starting price$24/month (Pro plan)
Free planFree trial (14 days, no credit card required)
Craftybase (now Stocksmith) homepage

Craftybase recently rebranded to Stocksmith, but the product is the same: inventory and manufacturing software for small-batch producers, including bakers. Its core trick is cost truth. You define a recipe once, log a batch, and the system deducts every ingredient automatically and recalculates your cost per unit as supplier prices change. At tax time, the COGS numbers are already there. Plans start at $24/month for Pro, with Studio at $49 and higher tiers for larger order volumes, and every plan includes a 14-day trial with no credit card.

The limitation is scope. This is a back-of-house costing and inventory tool, not a register and not an order manager. A bakery selling at farmers markets and on Shopify gets enormous value from knowing its real margins; a bakery that needs to take orders at a counter will pair it with Square or a similar POS. Used for what it is, it is the best value on this list for small producers.

What we like
  • Automatic COGS calculation from material and labor costs with no spreadsheet formulas
  • Low entry price with a genuine free trial
  • Syncs orders from Shopify, Etsy, WooCommerce and Square
Watch out for
  • Built for makers, not retailers, so there is no POS
  • Production scheduling and lot tracking sit on the higher tiers
  • The rebrand to Stocksmith may confuse buyers searching for Craftybase
#6

Toast

Best for: Bakery cafes and restaurants that need a restaurant-grade POS
Visit pos.toasttab.com
Starting price$0/month (Starter Kit); $69/month (Point of Sale plan)
Free planYes (Starter Kit is a $0/month plan)
Toast homepage

Toast is the default POS for restaurants, and bakery cafes fall squarely in its territory. The pricing page publishes three paths: a $0/month Starter Kit with core POS and one terminal hardware configuration, a $69/month Point of Sale plan with flat-rate processing, and Build Your Own custom pricing. Online ordering, loyalty, gift cards, email marketing and payroll are paid add-ons, typically $50 to $100 per month each.

Two things to weigh. First, Toast requires its own payment processing, so the "free" plan funds itself through a higher processing rate; run your own card-volume math before choosing it over the $69 plan. Second, Toast is a front-of-house system. It will not do recipe costing or production planning, so a production bakery still needs one of the tools above. For the counter, the dining room and online ordering, it is the category leader for a reason.

What we like
  • Published pricing with a genuine $0 Starter Kit
  • Deep restaurant feature set including KDS, online ordering and loyalty as add-ons
  • 24/7 customer care on every plan
Watch out for
  • Payment processing must run through Toast, so you cannot shop the rate
  • The module stack (online ordering, loyalty, payroll) adds $50 to $100 per month each
#7

Square

Best for: Small bakeries and startups that want to begin free with no contract
Visit squareup.com
Starting price$0/month (Free plan); $60/month per location (Plus)
Free planYes (Free plan with core POS)
Square homepage

Square's pitch is the absence of commitment. The Free plan covers day-to-day POS with table management and online ordering, and you pay only processing fees. Plus at $60/month per location adds course management, live sales reporting, unlimited KDS devices and 24/7 support, with a 30-day trial. Premium is custom-priced for high-volume operators. There are no long-term contracts and no hidden fees, which the vendor states plainly on its pricing page.

For a bakery, Square makes most sense at the retail counter and for simple online ordering. Like Toast, it is not bakery management software in the production sense: there is no recipe costing, no bake planning and no wholesale management. Pair it with Craftybase for costing or CakeBoss for custom orders and you have a capable small-bakery stack for very little money.

What we like
  • A real free plan with no monthly fee and no long-term contract
  • Plus at $60/month per location undercuts most restaurant POS competitors
  • 30-day free trial on paid plans
Watch out for
  • Advanced restaurant features (coursing, seat management) sit on higher tiers
  • Hardware is a separate purchase
  • Payment processing rates apply on every plan
#8

Lightspeed

Best for: Multi-location bakeries and bakery cafes with complex menus
Visit lightspeedhq.com
Starting price$69/month (Starter plan)
Free planFree trial (see website for current offer)
Lightspeed homepage

Lightspeed Restaurant sits between Toast and Square on price and above both on inventory depth. The published ladder runs $69/month for Starter, $189 for Essential and $399 for Premium, with Enterprise on quote. Essential adds multi-location management and advanced inventory, which is where bakery chains start to care. The system handles complex menus, modifiers and timed pricing well, and the reporting is genuinely useful for spotting margin problems.

Watch the add-ons. The kitchen display is $30 per screen per month regardless of plan, so three screens add $1,080 a year before you sell a single croissant. Online ordering and loyalty cost extra, and the payment processing rate is not published, which matters more than the subscription at real card volumes. Price the whole stack, not the $69 headline.

What we like
  • Published three-tier pricing (Starter $69, Essential $189, Premium $399) with strong inventory and multi-location features
  • Advanced reporting and integrations
  • IPad-based system suited to counter service
Watch out for
  • Kitchen display costs $30 per screen per month on every plan
  • Online ordering and loyalty are add-ons
  • Processing rates are not published on the pricing page

What to check before you buy bakery software

Start with where your pain actually is. If the chaos is in production, the bake plan, ingredient purchasing and recipe costs, you need bakery-specific software: FlexiBake, BakeSmart, Cybake or Craftybase. If the chaos is at the register, online ordering and staff management, a POS like Toast, Square or Lightspeed is the answer. Many bakeries end up with one of each, and that is fine, as long as the two systems share data or at least do not force double entry.

Recipe costing deserves its own line in your evaluation. Flour prices move, and a recipe costed six months ago is fiction. FlexiBake updates costing daily from purchasing data, Cybake pulls ingredient costs into recipes automatically, and Craftybase recalculates unit costs as supplier prices change. Ask every vendor how costing stays current, because a system with stale costs is worse than a spreadsheet you actually maintain.

Then check the compliance and sales-channel boxes. If you sell wholesale across state lines or need nutrition panels on packaging, confirm the software generates them; FlexiBake and Cybake both do. If you take wholesale orders, ask whether customers can order online themselves; BakeSmart and FlexiBake offer customer portals, which eliminate the 6 a.m. phone orders. And confirm the accounting integration: QuickBooks, Sage and Xero connectivity is standard on the bigger systems and worth verifying before you commit.

How we chose

We started with the searches bakery owners actually run: bakery management software, bakery ERP software, bakery POS system and software for cake businesses. For each candidate we opened the vendor's own site and pricing page, checked the published prices and plan structures against public reviews on G2, Capterra and SourceForge, and compared recipe costing, production planning, wholesale support and fit for different bakery sizes. Where a vendor publishes no prices, we wrote "See website" instead of repeating third-party estimates.

The real cost: subscription plus setup

The monthly fee is only part of the first-year bill. BakeSmart charges a $499 one-time implementation fee on top of its $99/month platform, and FlexiBake-style ERP deployments typically include onboarding services in the quote. CakeBoss has no setup fee at all, and Square and Toast let you self-install with off-the-shelf hardware, though Toast's hardware bundles run several hundred dollars per terminal.

Contracts are the second hidden cost. Square has no long-term contract; you can cancel monthly. Toast commonly sells one- to three-year terms with early termination fees, which reviewers flag as the real switching cost since the hardware only works with Toast. Ask every vendor three questions before signing: what is the total first-year cost including setup and hardware, what is the contract term and termination fee, and what happens to your data if you leave. The cheapest monthly price with a two-year lock-in is not cheaper than a pricier monthly plan you can cancel.

Frequently asked questions

How much does bakery management software cost?

For bakery-specific systems, expect $24/month (Craftybase/Stocksmith) to $295/month (FlexiBake Base) for the software itself. BakeSmart starts at $99/month per location plus a $499 setup fee. POS systems range from free (Square Free, Toast Starter Kit) to $69/month (Toast Point of Sale, Lightspeed Starter). Implementation, hardware and add-on modules can easily double the first-year cost.

Do I need bakery-specific software, or will a POS system work?

It depends on the job. A POS handles sales, payments and basic reporting. It does not do recipe costing, production planning, ingredient purchasing or wholesale order management. Retail bakeries with real production needs usually run both: bakery software for the back of the house and a POS at the counter.

What is recipe costing and why does it matter?

Recipe costing calculates what each product actually costs to make, from ingredients, labor and overhead. It matters because ingredient prices move constantly; without current costing you cannot tell which products make money. FlexiBake, Cybake and Craftybase all update costing automatically as purchase prices change.

Can bakery software generate nutrition labels?

The production-oriented systems can. FlexiBake includes nutritional analysis and label generation, and Cybake has a technical module covering allergens, nutrition and product claims. POS systems and small-business tools like CakeBoss generally do not; confirm this specifically if you sell packaged goods.

How long does it take to implement bakery software?

Cloud tools like Craftybase or CakeBoss can be running in days since you set them up yourself. BakeSmart includes professional onboarding starting at $499, which typically takes a few weeks including data migration. Full ERP deployments like FlexiBake take longer, often several weeks to a few months depending on locations and modules.
