How we make this list: we compare pricing pages, product documentation and public user reviews. Ratings come from G2, Capterra or Trustpilot, with the date we checked them.
Key takeaways
- The biggest differences are in how each tool charges. AgencyAnalytics charges per client ($20 per client/month billed annually). Swydo charges per data source ($69/month with 10 sources included). Reportz charges per dashboard.
- Whatagraph has moved upmarket. Its public entry plan, Max, now starts at $1,118 per month billed annually, so it is no longer a budget option for small agencies.
- If your team lives in Google Sheets or Looker Studio, Two Minute Reports adds scheduled data pulls with unlimited users on every plan, starting at $81 per month billed annually.
- For internal business reporting, Zoho Analytics is the cheapest full BI option we found on a vendor page, starting at $25 per month for two users, with an always-free tier.
- Rollstack does a narrower job: it turns BI data into branded slide decks on a schedule. It starts at $1,250 per month billed annually, so it suits data teams more than small businesses.

The best software for automated report generation
Starting price$20 per client/month (billed annually), $25 billed monthly
Free planFree trial (14 days)
AgencyAnalytics is built for one buyer: the marketing agency that wants every client to log into a branded portal and get a polished report on the first of the month, without anyone copying screenshots. Its pricing page is unusually direct. You pay $20 per client per month on annual billing (or $25 month to month), and the calculator shows your total as you add clients.
That per-client model is the main reason to choose it or skip it. If you run 8 retainer clients at $3,000 a month each, $160 a month for automated reporting is easy to justify. If you run 60 small local clients at $500 a month, the same model gets expensive fast. Add-ons are sold separately, including AI credit packs and extra blocks of 500 tracked keywords, so SEO-heavy agencies should price those in before signing.
The 14-day trial requires no credit card. That makes it easy to build one real client report and schedule it to your own inbox before you commit.
What we like- Price scales directly with your client count
- All-in-one client portal, dashboards and scheduled reports
- No credit card needed for the trial
Watch out for- Costs climb quickly for agencies with dozens of small clients
- Extra AI credits and rank-tracking keywords are paid add-ons
#2Swydo
Best for: Agencies with many small clients4.7/5 on
G2 (114 reviews, checked Oct 2026)
Visit swydo.com
Starting price$69/month including 10 data sources
Free planFree trial
Swydo takes the opposite approach to AgencyAnalytics. There is one plan with all features, and you pay for connected data sources rather than clients. The base fee is $69 a month for the first 10 sources. Sources 11 to 100 cost $4.50 each, 101 to 500 cost $3.00 each, and anything past 500 costs $2.00 each.
This model works best for agencies whose clients use only one or two platforms. A local service business with just Google Ads and GA4 costs you two sources, not a full client seat. The catch is that the count grows faster than people expect. Connect 10 clients to both Google Ads and Facebook Ads and you already have 20 sources, which is the example Swydo uses on its own pricing page.
Swydo is focused on paid media and marketing reporting, so it is not the tool for finance or operations reports. For PPC-led agencies, though, it is one of the more predictable ways to automate weekly and monthly client reports.
What we like- Unlimited users, clients, dashboards and reports on the single plan
- Per-source rates drop at volume
- Every feature included at every size
Watch out for- Each connected ad or analytics account counts as a separate source
- Prices on the pricing page are shown excluding VAT
#3Whatagraph
Best for: Larger agencies and multi-location brands4.5/5 on
G2 (283 reviews, checked Oct 2026)
Visit whatagraph.com
Starting price$1,118/month (billed annually)
Free planFree trial (14 days)
Whatagraph used to compete with the low-cost agency tools. That is no longer the case. Its current pricing page lists two plans, Max and Prime, aimed at agencies and multi-location operators. Max starts at $1,118 per month billed annually, and Prime is quoted after a demo.
That money buys a setup with more controls. Both plans include unlimited users and reports, blended sources, custom data transformations, currency conversion, version history and linked report templates. They also include KPI goals with alerts and the Whatagraph IQ assistant for building reports and writing summaries. An EU data center is available too, which matters for European clients.
For a franchise brand reporting across 40 locations, or an agency that needs one source of truth for many client accounts, the price can make sense. For a five-person agency, it will be hard to justify against Swydo or AgencyAnalytics. A 14-day trial of Max is available at signup.
What we like- Automated report emails with PDF attachments
- Data blending, source groups and built-in storage
- Dedicated customer success manager on both plans
Watch out for- Entry price is high for small teams
- Annual billing only on the public plan
Starting price$81/month (billed annually), $97 billed monthly
Free planFree trial
Think of Two Minute Reports as a data connector rather than a standalone dashboard tool. It pulls data from ad platforms, GA4, Shopify and other sources into Google Sheets and Looker Studio, then refreshes it on a schedule. If your reports already live in a spreadsheet template, this is the shortest path to automating them.
The plans differ by how many accounts you can connect per connector: 3 on Lite ($81 a month billed annually), 30 on Pro ($248) and 100 on Business ($498). Every plan includes unlimited users and all connectors, which is generous compared with seat-based tools. Hourly refreshes and API access are on the Business plan.
The honest catch is that it does not design the report for you. Someone on your team still needs to be comfortable with spreadsheet formulas or Looker Studio charts. For an in-house marketer who likes that control, that is a feature, not a flaw.
What we like- Unlimited users on every plan
- All connectors included on every tier
- API access and hourly scheduling on Business
Watch out for- Lite plan allows only 3 accounts per connector
- You still build the report layout yourself in Sheets or Looker Studio
Starting priceFree (paid Pro tier, see website)
Free planYes
Google's free reporting tool is where many small companies start, and for good reason. If most of your data sits in GA4, Google Ads, Search Console or a Google Sheet, you can build a live dashboard in an afternoon and schedule it to land in your manager's inbox every Monday.
Free comes with limits. Data from Meta, LinkedIn, HubSpot or your accounting system usually needs a paid connector such as Two Minute Reports, so the true cost is often not zero. Version control, team permissions and support are also thin on the free tier, which is why Google sells a paid Pro edition for organizations.
For a small business owner who wants a weekly marketing snapshot without a new subscription, it is still the easiest place to begin.
What we like- No cost for the core product
- Native connectors for GA4, Google Ads, Search Console, BigQuery and Sheets
- Reports can be emailed on a schedule
Watch out for- Non-Google sources often require paid third-party connectors
- Dashboards slow down with large or blended datasets
#6Microsoft Power BI
Best for: Companies already on Microsoft 3654.5/5 on
G2 (1,661 reviews, checked Oct 2026)

Starting priceSee website
Free planYes (Power BI Desktop)
A full business intelligence platform might seem out of place here, but Power BI belongs on this list because it handles the "same report every week" job very well once it is set up. Reports refresh on a schedule, and users can subscribe to get snapshots by email. For a company already paying for Microsoft 365, it fits into Teams and SharePoint without much friction.
The free Power BI Desktop app is enough to build reports on your own machine. To share them with colleagues, you need paid licenses. Microsoft's pricing has changed in recent years, so check the current per-user rates on its site before you set a budget.
The weakness is effort. Building a clean data model takes skill, and a small team with no one comfortable in DAX or Power Query may spend weeks on the first useful report. Companies with an analyst or an outside consultant get far more value from it.
What we like- Deep data modeling and hundreds of connectors
- Scheduled refresh and email subscriptions
- Fits naturally with Excel, Teams and SharePoint
Watch out for- Sharing reports requires paid per-user licenses
- Steeper learning curve than marketing reporting tools
#7Zoho Analytics
Best for: SMB internal reporting on a budget4.2/5 on
G2 (289 reviews, checked Oct 2026)
Visit zoho.com
Starting price$25/month (2 users)
Free planYes
Zoho Analytics is the value pick for owners who want automated sales, finance and operations reports, not just marketing dashboards. According to Zoho's help center, paid plans start at $25 per month for 2 users and 500,000 rows. They go up to $495 per month for 50 users and 50 million rows. The always-free plan covers 2 users, 5 workspaces and 10,000 rows.
It makes the most sense for companies already running Zoho CRM or Zoho Books, where the data connects with little setup. Scheduled emails and exports handle routine reporting, and Zoho's own comparison puts its Premium plan at roughly $115 per month for 15 users.
Watch the row limits. A busy e-commerce store or a CRM with several years of history can outgrow the entry plan quickly, so estimate your row count before choosing a tier.
What we like- Always-free plan for small datasets
- Low entry price for a full BI tool
- Strong fit with Zoho CRM, Books and other Zoho apps
Watch out for- Row limits on lower plans are tight
- Interface is denser than marketing-specific tools
Starting price$1,250/month (billed annually)
Free planNo
Many companies already have dashboards. What eats time is the monthly board deck or quarterly business review, where someone copies charts from Tableau or Power BI into slides by hand. Rollstack automates that last step. It connects to tools such as Snowflake, Tableau and Power BI, then builds and updates decks in your brand on a schedule.
The Standard plan starts at $1,250 per month billed annually and includes 10,000 sync updates per year, unlimited seats, version control and standard SLAs. Premium adds 30,000 syncs, dedicated support and AI-generated insights. It also adds Collections, which produces many versions of a deck at once.
This is a tool for data teams at mid-size companies, not a first reporting purchase. If you are still deciding which dashboard tool to use, start elsewhere. Come back to Rollstack once building slides becomes the slow step.
What we like- Turns live BI data into branded PowerPoint and Google Slides decks
- Unlimited user seats
- Version control and AI-generated insights on higher plans
Watch out for- High entry price
- Only useful if you already have a BI tool or data warehouse
#9
Reportz
Best for: Low-cost white-label SEO and PPC dashboards
Visit reportz.io
Starting price$9.98 per dashboard/month
Free planFree trial (15 days)
Small and focused, Reportz sells live marketing dashboards for SEO and PPC agencies and freelancers. Its own comparison pages describe per-dashboard pricing starting at $9.98 per month, with the rate falling as you buy more dashboards. White-label branding is included on every package.
For a freelancer reporting on a handful of clients, this is one of the lowest-cost ways to replace manual monthly reports with a live, branded link. Setup takes minutes rather than days.
The trade-off is depth. Data blending, AI summaries and large connector catalogs are stronger in the bigger tools, so agencies with complex multi-channel clients may outgrow it. The 15-day trial is enough to test whether its integrations cover your clients' platforms.
What we like- Per-dashboard pricing that drops as you buy more
- White-label branding included on every package
- Quick setup without implementation help
Watch out for- Smaller integration list than the larger platforms
- Less suited to internal finance or operations reporting
How we chose
We started with the job buyers actually describe: getting the same report built, refreshed and delivered on a schedule without manual copy and paste. We then shortlisted tools for three common situations: client reporting at agencies, internal business reporting and executive slide decks. We dropped products that were discontinued or only loosely related to reporting.
For each tool we checked the vendor's own pricing page or help documentation for plan prices, limits and trial terms. Where we could not confirm a current number, we wrote "See website." We also reviewed product documentation, integration lists and public user feedback on G2, Capterra and Reddit. Then we weighed each tool by pricing model, ease of setup, delivery options (email, PDF, live link, slides) and fit for small and mid-size teams.
Start with who reads the report
Client-facing reports and internal reports are different purchases. Agencies need white labeling, client portals and per-client templates, which points to AgencyAnalytics, Swydo, Whatagraph or Reportz. Internal teams need data modeling across sales, finance and operations, which points to Zoho Analytics or Power BI.
Match the pricing model to your growth
Run the math for where you will be in 12 months, not today. Per-client pricing works for agencies with a few large clients. Per-data-source pricing works when clients use few platforms. Flat plans with unlimited users, like Two Minute Reports, suit teams where many people need access. Per-seat BI pricing gets expensive when you share reports widely.
Check the delivery format
Ask how the report reaches the reader. Some tools send a live link, some attach a PDF to a scheduled email, and Rollstack produces slide decks. If your CEO reads everything on a phone in an inbox, a PDF email may matter more than a dashboard.
Test with your real data
Use the free trial to rebuild one report you already make by hand. Connect the actual accounts, schedule a send, and see whether the numbers match your source platforms. Different attribution windows and time zones are the most common reasons the numbers don't match.
Read the contract terms
Several vendors push annual billing for the best rate, and Whatagraph's public plan is annual only. Before signing, ask if you can export your data and report templates if you leave, and whether add-ons such as AI credits are billed separately.
Frequently asked questions
What is automated report generation software?
It is software that connects to your data sources and builds a report from a saved template. It refreshes the numbers on a schedule and sends the result by email, link, PDF or slides. The goal is to remove the manual work of exporting data and pasting charts each week or month.
What is the cheapest way to automate reports?
Looker Studio is free and can email reports on a schedule, which covers many small businesses that rely on Google data. Zoho Analytics also has an always-free plan for small datasets. You may still need paid connectors for data from outside Google.
Which tool is best for marketing agencies?
AgencyAnalytics suits agencies with fewer, larger clients because it bills per client. Swydo suits agencies with many smaller clients because it bills per data source with unlimited clients. Reportz is the low-cost choice for freelancers and small SEO shops.
Can these tools send reports as PDFs?
Most can. Whatagraph lists automated report emails with PDF attachments on both plans, and the agency tools generally support scheduled PDF or link delivery. Rollstack goes further and produces PowerPoint and Google Slides decks.
Do I need a data analyst to set these up?
Not for the agency tools, which use templates and drag-and-drop builders. Power BI, and to a lesser degree Zoho Analytics, works best when someone on the team is comfortable with data modeling. Rollstack assumes you already have a BI tool or warehouse in place.
How long does setup usually take?
Template-based tools like Reportz, Swydo and AgencyAnalytics can produce a first scheduled report within a day. BI platforms such as Power BI can take several weeks to model data properly, especially when combining several systems.
