How we make this list: we compare pricing pages, product documentation and public user reviews. Rankite is independent; if a vendor ever pays for a featured spot, that listing is clearly labeled Partner.

Top IT Helpdesk Software in 2026: 9 Tools Compared

Key takeaways

  • Most IT teams should shortlist Freshservice Starter ($19/agent/month), Freshdesk Growth ($19/agent/month) or LiveAgent Small business ($15/agent/month): all publish prices and all start with a free trial.
  • Zendesk is the brand name, but Suite Team starts at $55/agent/month and the entry Support Team plan at $19/agent/month is email ticketing only, so price the suite, not the headline.
  • Real ITSM (incident, problem, change management, asset tracking) starts with Freshservice Growth ($49/agent/month), SysAid Professional ($89/agent/month) or ManageEngine ServiceDesk Plus from $13/technician/month.
  • ManageEngine ServiceDesk Plus is free for up to 5 technicians on Standard, the only genuinely free ITSM option on this list; Zoho Desk and Help Scout also run real free plans.
  • HappyFox, Zoho Desk and Freshdesk now all meter AI agent sessions separately, so ask what the AI features cost before you count on them.

The top IT helpdesk software

Blunt opinion: most helpdesk software is sold as if every buyer is a 500-seat enterprise, and most of the "AI-powered" pricing on this list hides a second meter for AI agent sessions. The nine tools below are the ones worth your evaluation time in 2026: three genuine ITSM platforms for IT departments, and six helpdesk and ticketing tools that IT teams actually deploy for internal support. Every price is per agent unless stated, because that is how this category bills.

The top IT helpdesk tools

#1

Freshdesk

Best for: SMB support teams wanting AI-flavored ticketing at a fair price
Visit freshdesk.com
Starting price$19/agent/month (Growth, billed annually)
Free planFree trial (14 days, Enterprise features)
Freshdesk homepage

Freshdesk is Freshworks' customer-support helpdesk, and Growth at $19 per agent per month annually is the value play of this list for plain ticketing. You get email ticketing, a shared inbox, a customer portal with knowledge base, out-of-the-box analytics, and 500 Freddy AI Agent sessions to try the AI story. Pro at $55 adds multilingual support, intelligent routing and multiple SLA policies. Enterprise at $89 adds sandbox, audit logs and skill-based routing.

The pricing honesty is refreshing: no cancellation fees, upgrades instant, downgrades at term end. The thing to price carefully is the AI layer. Copilot costs $29 per agent per month extra, additional AI agent sessions run $49 per 100 sessions, and connector tasks are metered too. If you want the AI version of Freshdesk, budget 50 percent above the plan price. For a 10-agent team on Growth, the base is $190 a month, which undercuts Zendesk's comparable suite by a wide margin.

What we like
  • Growth at $19/agent/month includes ticketing, shared inbox, knowledge base and 500 Freddy AI Agent sessions
  • No cancellation fees and pay-as-you-go billing
  • Day passes let occasional helpers in for $2 a day
Watch out for
  • No permanent free plan
  • AI Copilot and extra AI sessions are paid add-ons, so the AI story costs more than the headline
#2

Freshservice

Best for: IT teams that need real ITSM without enterprise pricing
Visit freshservice.com
Starting price$19/agent/month (Starter, billed annually)
Free planFree trial (14 days, unrestricted)
Freshservice homepage

Freshservice is the ITSM sibling of Freshdesk, and it is the easiest recommendation on this list for an IT department. Starter at $19 per agent per month annually covers incident management, knowledge management, task management and a support portal across email, phone, chat and widget channels. That is a genuine service desk at the price of a basic ticketing tool.

Growth at $49 adds the ITIL pieces most teams actually need: service catalog, SLA management, on-call management and cloud management. Pro at $99 adds problem, change and release management plus major incident handling. Two details matter in procurement. First, asset management is licensed in Asset Units sold in packs of 500, so count your endpoints before signing. Second, occasional agents can be added via day passes starting at $3, which is the cheapest way to give managers and executives portal access. The 14-day trial is fully unrestricted, so run a real incident through it.

What we like
  • True ITSM from the start: incident, knowledge and task management on Starter
  • Growth ($49) adds service catalog, SLA management and on-call
  • Occasional-agent day passes from $3 for part-time helpers
Watch out for
  • Asset management licensing uses a separate Asset Units metric sold in 500-packs
  • Pro at $99/agent/month is a big jump for change and release management
#3

Zendesk

Best for: Companies that want the market leader and its ecosystem
Visit zendesk.com
Starting price$19/agent/month (Support Team, billed annually)
Free planFree trial
Zendesk homepage

Zendesk is the name every shortlist includes, and the pricing tells you why procurement teams sigh. Support Team at $19 per agent per month annually is email ticketing with prebuilt reporting, fine for a team outgrowing a shared inbox. But the product Zendesk markets, the AI-powered omnichannel suite, starts at Suite Team for $55 per agent per month, and Suite Professional at $115 is where advanced automation lives. Add Copilot ($50/agent/month) and the workforce engagement bundle ($50/agent/month) and a 10-agent team can clear $2,000 a month fast.

None of that makes Zendesk a bad choice. The ecosystem is unmatched: thousands of apps, the most mature APIs, and an admin talent pool that makes hiring easier. The startups program (6 months of Suite free for up to 50 agents) is genuinely generous. Just never compare Zendesk's $19 headline with a competitor's $19 suite. Compare Suite Team at $55 with Freshdesk Pro at $55 and Freshservice Growth at $49, and the gap mostly disappears.

What we like
  • The deepest app marketplace and integration ecosystem in the category
  • Support Team at $19/agent/month is a credible email-ticketing entry
  • Startups program offers 6 months of Suite for up to 50 agents
Watch out for
  • Real omnichannel starts at Suite Team ($55/agent/month)
  • AI Copilot and workforce engagement are $50/agent/month add-ons each
#4

Help Scout

Best for: Small teams that live in email and want a shared inbox
Visit helpscout.com
Starting price$25/user/month (Standard)
Free planYes (5 users, 1 inbox, 1 docs site)
Help Scout homepage

Help Scout is the anti-enterprise helpdesk: email-first, human-sounding, and priced for small teams. The free plan is real, not a trial: 5 users, 1 inbox, 1 knowledge-base site. Standard at $25 per user per month adds live chat and SMS, WhatsApp, Instagram and Messenger, multiple inboxes and knowledge bases, one SLA policy and basic workflows. Plus at $45 adds advanced workflows, two SLA policies and integrations like Salesforce, Jira and HubSpot.

For an internal IT helpdesk at a small company, the shared-inbox model fits well: IT requests arrive by email, get assigned, and get answered, with a knowledge base deflecting the repeat questions. The limits to check: Standard caps at 25 users, light users (view-only collaborators) need Plus or Pro, and the AI Answers chatbot bills $0.75 per AI-resolved conversation on top.

What we like
  • A real free plan for teams up to 5 users
  • Standard includes live chat, WhatsApp, Instagram and Messenger at $25/user/month
  • 15-day trial needs no credit card
Watch out for
  • Per-user pricing with tight seat caps (Plus caps at 25 users)
  • Phone support and advanced workflows need Plus ($45) or Pro ($75)
  • AI Answers billed per resolution on top
#5

Zoho Desk

Best for: Zoho shops and budget teams wanting omnichannel support
Visit zoho.com
Starting priceSee website (Express, Standard, Professional, Enterprise editions)
Free planYes (3 users, email ticketing)
Zoho Desk homepage

Zoho Desk is the value omnichannel pick, especially if your company already runs Zoho CRM or Zoho Projects. The free edition covers 3 users with email ticketing, social media tickets from Instagram, Facebook and X, web forms, workflows and a knowledge base, and every signup gets a 15-day trial of any paid plan without a credit card. Editions step from Express through Standard, Professional and Enterprise, adding live chat, telephony, Zia AI, blueprints automation, multi-department support and sandbox environments.

The honest catch is gravity: Zoho's pricing undercuts everyone, and each additional Zoho app makes leaving harder. For an IT helpdesk, the Professional and Enterprise tiers are the relevant ones, with skill-based assignment, multi-brand help centers and custom modules. The vendor's pricing page did not expose per-agent prices in readable form during this review, so check zoho.com/desk/pricing before budgeting. Historically Zoho Desk has been the cheapest paid helpdesk per agent on this list, and nothing on the page suggested that changed.

What we like
  • Free edition with 3 users and a 15-day trial of any paid plan with no credit card
  • Deep integration with the Zoho suite (CRM, Projects, Analytics)
  • AI agents and multilingual help center included in the platform
Watch out for
  • Plan prices were not readable on the vendor pricing page during this review
  • The Zoho ecosystem lock-in is real once you adopt three or more Zoho apps
#6

HappyFox

Best for: Teams that want customer help desk and IT service desk from one vendor
Visit happyfox.com
Starting price$24/agent/month (Help Desk)
Free planFree trial (14 days, no credit card)
HappyFox homepage

HappyFox sells two desks: Help Desk for customer support starting at $24 per agent per month, and Service Desk starting at $49 per agent per month with asset management, change management and approvals for IT teams. That dual lineup is the differentiator. A company can run customer support and internal IT on one vendor, one contract, one admin console.

The pricing page is unusually transparent about the model: per-agent pricing with a 5-agent cap on Basic, unlimited agents on higher plans, and unlimited-agent flat annual plans for teams above roughly 20 to 25 agents where per-seat math breaks down. Every plan starts with a 14-day free trial and no credit card. The watch-out is the AI menu: HappyFox AI ($14/agent/month), Assist AI ($1/user/month), Chatbot ($0.33 per resolution) and Workflows (from $199/month) are all separate products. Price the bundle you will actually run, not the base plan.

What we like
  • Help Desk from $24/agent/month undercuts Zendesk and Freshdesk Pro
  • Unlimited-agent flat pricing available for large teams
  • A dedicated Service Desk product ($49/agent/month) for ITIL workflows
Watch out for
  • No permanent free plan
  • AI products (Assist, Chatbot, Workflows) are separately priced add-ons
  • Annual billing saves 20 percent, so monthly prices run higher
#7

LiveAgent

Best for: Small teams that need ticketing, live chat and a call center in one bill
Visit liveagent.com
Starting price$15/agent/month (Small business, billed annually)
Free planFree trial
LiveAgent homepage

LiveAgent is the Swiss-army helpdesk: email ticketing, live chat, a built-in call center with IVR and call recording, a customer portal, forum and knowledge base, all from $15 per agent per month annually ($19 monthly). Medium at $29 adds departments, roles and automation rules. Large at $49 adds 150 email accounts, 50 chat buttons, Telegram and WhatsApp at scale. It is the only tool on this list where a 5-person team gets chat, voice and ticketing for $75 a month.

The limits are where the price comes from. Small business caps you at 3 email accounts, 2 live chat buttons, 10 departments and 20 canned messages. Facebook, Instagram and WhatsApp integrations cost $39 a month extra each on the lower tiers. And support on Small is best-effort, with 24/7 only from Medium up. For a small IT team handling internal requests across email and chat, Small is enough. For customer-facing support with social channels, price Medium plus the channel add-ons.

What we like
  • The cheapest entry on this list at $15/agent/month annual
  • Ticketing, live chat, call center, knowledge base and 180-plus integrations in one product
  • Agent collision detection prevents duplicate replies
Watch out for
  • Channel limits are tight on Small (3 email accounts, 2 chat buttons)
  • Social integrations cost $39/month extra per channel on lower tiers
  • Support is best-effort on the cheapest plan
#8

SysAid

Best for: Mid-size IT teams that want AI-native ITSM
Visit sysaid.com
Starting price$89/agent/month (Professional)
Free planFree trial (no credit card)
SysAid homepage

SysAid has repositioned hard around AI, and the pricing page leads with it: Professional at $89 per agent per month includes unlimited agentic AI with no usage caps, a Copilot chatbot for agents and end users, 100-plus prebuilt AI agents and 100K Workato integration credits. Under the AI banner it is a complete ITSM suite: incident, problem, change and request management, SLA management, asset management with 250 managed assets included, network discovery, a CMDB and Qlik-powered BI analytics.

The honest question is team size. At $89 per agent per month with Enterprise custom-quoted from 20 agents, SysAid prices itself for IT departments of 15-plus technicians who will actually use change management, problem management and BI dashboards. A 10-technician team pays $890 a month before add-ons like patch management or remote support.

What we like
  • The most AI-forward ITSM on this list: unlimited agentic AI, Copilot for agents and end users, 100-plus prebuilt AI agents
  • Full ITIL coverage plus asset management with 250 assets included
  • BI analytics built in
Watch out for
  • $89/agent/month is the highest entry price here and Professional still routes through "get a quote"
  • Enterprise requires 20 agents minimum
  • Overkill for teams under 10 technicians
#9

ManageEngine ServiceDesk Plus

Best for: IT teams that want ITSM on premises or at the lowest price
Visit manageengine.com
Starting priceFrom $13/technician/month (Standard edition)
Free planYes (Standard free for up to 5 technicians)
ManageEngine ServiceDesk Plus homepage

ManageEngine ServiceDesk Plus is the budget ITSM pick and the only one with a real free tier: Standard edition is free for up to 5 technicians, covering the IT service desk basics. Paid Standard starts from $13 per technician per month. Professional from $27 adds asset management, and Enterprise from $67 adds change, project management and a CMDB. Both cloud and on-premises deployments are available, which matters for regulated industries that cannot put tickets in someone else's cloud.

The pricing model rewards careful counting: Standard bills per technician, while Professional and Enterprise also bill per managed IT asset, so a 10-tech team with 500 assets pays very different numbers per edition. End users are never charged, which is generous. AI capabilities ship across all editions at no additional cost, a quiet contrast with vendors metering AI sessions. The 30-day free trial covers both deployments. If your IT team is 5 technicians or fewer, start on the free Standard plan and upgrade only when you outgrow it.

What we like
  • Standard is free for up to 5 technicians, the only free ITSM on this list
  • Cloud and on-premises deployments
  • Professional from $27/technician/month adds asset management
  • AI capabilities included at no extra cost
Watch out for
  • Pricing is per technician plus per asset on higher editions, so count endpoints
  • The interface shows its age next to Freshservice
  • Add-ons like change management cost extra on Standard and Professional

How to buy helpdesk software without overpaying

Price the suite you will actually use

Entry prices in this category are marketing. Zendesk's $19 plan is email ticketing; the suite most buyers want starts at $55. Freshservice's $19 Starter is genuinely useful, which is why it wins value comparisons. Before comparing, list your channels (email, chat, phone, social), your must-have workflows (SLAs, approvals, change management) and your AI expectations, then price the tier that includes all three. The gap between the headline price and the real price is $30 to $60 per agent per month at most vendors.

Count agents, technicians and end users separately

Vendors slice seats three ways. Freshdesk, Zendesk and Help Scout charge per agent. SysAid and Freshservice charge per agent too, but Freshservice adds Asset Units for endpoints. ManageEngine charges per technician plus per asset, with end users free. HappyFox caps agents on Basic and offers flat unlimited-agent pricing above 20 to 25 agents. Model your bill with your real headcount, your endpoint count and your part-time helpers (day passes at Freshdesk, Freshservice and HappyFox are the cheap answer for those).

Free plans and trials, ranked by honesty

ManageEngine ServiceDesk Plus gives 5 technicians a free Standard edition with no time limit: the best free ITSM deal here. Help Scout's free plan covers 5 users permanently. Zoho Desk's free edition covers 3 users. Everyone else offers 14 to 30-day trials. Run a real ticket, a real escalation and a real report through the trial before you commit.

The AI pricing trap in helpdesk software

Every vendor on this list now sells AI, and almost none of it is in the base price. Freshdesk includes 500 Freddy AI Agent sessions, then charges $49 per 100 sessions, with Copilot at $29 per agent per month. Help Scout's AI Answers costs $0.75 per AI-resolved conversation. HappyFox splits AI across four separately priced products. Zendesk's Copilot is $50 per agent per month. Only ManageEngine bundles AI capabilities at no extra cost across editions.

This matters because AI deflection is the main pitch for upgrading tiers in 2026. Before you buy the AI story, get three numbers in writing: how many AI sessions or resolutions are included, what the overage unit costs, and whether the AI features require a minimum plan tier. A 10-agent team deflecting 2,000 tickets a month through AI can add $300 to $1,500 a month in metered AI costs depending on the vendor. The base plan comparison is only half the bill.

How we chose

We started with the categories buyers search: IT helpdesk software, help desk ticketing system, ITSM software and internal IT support software. For each candidate we opened the vendor's own pricing page, checked plan details against public reviews on G2 and Capterra and practitioner discussion on Reddit, and compared ticketing depth, ITIL coverage, channel support, AI pricing and team-size fit. Where a price could not be verified on the vendor's page we wrote "See website" rather than guessing. We never claim hands-on testing: this is document research, priced from vendor pages.

Frequently asked questions

What is the difference between helpdesk software and ITSM software?

Helpdesk software handles tickets: requests come in, get assigned and get resolved. ITSM adds the ITIL disciplines around that: incident, problem and change management, asset tracking, a CMDB and service catalogs. Freshservice, SysAid and ManageEngine ServiceDesk Plus are ITSM tools. Freshdesk, Zendesk, Help Scout, Zoho Desk, HappyFox and LiveAgent are helpdesk tools, though the line blurs on higher tiers.

How much does helpdesk software cost per agent?

Entry plans run $15 to $25 per agent per month annually (LiveAgent $15, Freshdesk and Freshservice $19, Help Scout $25). Mid tiers with automation and SLAs run $45 to $55. ITSM platforms run $49 to $89 per agent per month (Freshservice Growth $49, SysAid Professional $89). AI features usually cost extra on top.

Is there free helpdesk software?

Yes. ManageEngine ServiceDesk Plus is free for up to 5 technicians, Help Scout is free for up to 5 users, and Zoho Desk has a free edition for 3 users. These are genuinely free, not trials. Everyone else offers 14 to 30-day free trials.

Do I need ITIL features like change management?

If your IT team is under 10 people handling break-fix requests, no: ticketing, a knowledge base and SLAs are enough. Change management, problem management and CMDBs pay off when you have 15-plus technicians, compliance requirements or complex infrastructure. Buy the ITSM tier when outages start needing root-cause analysis, not before.

Which helpdesk is best for a small IT team?

For under 10 technicians: Freshservice Starter ($19/agent/month) if you want ITSM growth room, ManageEngine ServiceDesk Plus free Standard if budget is zero, or Help Scout ($25/user/month) if the team lives in email. All three start free or with a trial.

What should I ask about AI pricing before buying?

Ask how many AI agent sessions or resolutions are included per month, what each additional unit costs, whether AI requires a minimum plan tier, and whether AI features are billed per agent or per resolution. Get the answers in writing: metered AI is the fastest-growing line item in helpdesk contracts.
