How we make this list: we compare pricing pages, product documentation and public user reviews. Rankite is independent; if a vendor ever pays for a featured spot, that listing is clearly labeled Partner.

Best Quality Management Software in 2026: 10 Systems Compared

Key takeaways

  • Quality management software replaces paper binders and spreadsheets with controlled documents, CAPA workflows and audit trails. Regulated industries (medical device, pharma, aerospace) cannot operate without it.
  • Pricing is enterprise and mostly quote-based: Intellect publishes tiers starting at $26,000 per year; the rest require a sales conversation. Budget accordingly.
  • Greenlight Guru (medical device) and Veeva Vault QMS (life sciences) are industry-specific; MasterControl, ETQ Reliance and Arena serve broader manufacturing.
  • The buying decision is 20 percent features and 80 percent validation: pick the system your auditors already accept and your team will actually use.

The best quality management software

A quality management system is the nervous system of a regulated company: it controls documents, manages corrective actions, tracks training, handles complaints and proves to auditors that the process works. These ten platforms are ranked for the buying teams who evaluate them: quality managers, regulatory affairs and operations leaders in manufacturing and life sciences.

#1

MasterControl

Best for: Enterprise life sciences quality suites
Visit mastercontrol.com
Starting priceSee website
Free planNo
MasterControl homepage

MasterControl is the name auditors recognize: a complete quality suite covering the document lifecycle, deviations, CAPAs, change control, training records and audit management. For pharma and large medical device companies, its validation documentation and industry track record shorten the hardest part of buying QMS: proving it to regulators.

The trade is enterprise everything: pricing, implementation timelines and complexity. Request a quote on mastercontrol.com with your user count and modules. Smaller companies should look at Qualio or QT9 first.

What we like
  • The established enterprise QMS: document control, CAPA, training, audits and supplier management in one validated platform
  • Deep life sciences and pharma adoption
  • Auditors know it
Watch out for
  • Enterprise pricing requires a sales engagement
  • Implementation is a project, not an install
  • The breadth can overwhelm smaller teams
#2

ETQ Reliance

Best for: Large manufacturers needing a flexible platform
Visit etq.com
Starting priceSee website
Free planNo
ETQ Reliance homepage

ETQ Reliance serves manufacturers whose quality processes do not fit a template: configurable workflows adapt to how the plant actually works. Coverage spans the standard QMS modules plus environment, health, safety and risk. Hexagon's ownership adds measurement and manufacturing software integration.

Contact etq.com for pricing based on modules and users. The configurability is the selling point and the cost: expect a real implementation project. Companies with standard processes may prefer a more opinionated system.

What we like
  • Highly configurable workflows for document control, CAPA, risk and compliance
  • Strong in automotive, aerospace and diversified manufacturing
  • Now part of Hexagon
Watch out for
  • Configuration flexibility means longer implementations
  • Pricing is quote-based
  • The platform breadth needs dedicated administration
#3

Veeva Vault QMS

Best for: Life sciences companies already on Veeva Vault
Visit veeva.com
Starting priceSee website
Free planNo
Veeva Vault QMS homepage

Veeva Vault QMS is the quality module of the platform that runs much of pharma's content: documents, submissions and quality in one validated cloud. For companies already on Vault for regulatory or clinical, adding QMS is natural. The unified data model means a document change flows to training assignments automatically.

Pricing is enterprise and engagement-based; see veeva.com. The decision is usually platform-level: if the company is Veeva-standard, Vault QMS wins. If not, the standalone systems compete better.

What we like
  • Native to the Vault platform: quality, regulatory and clinical share one cloud
  • Purpose-built for pharma and biotech
  • Continuous validation model
Watch out for
  • The Vault ecosystem is the commitment: best value when the company standardizes on Veeva
  • Pricing requires engagement
#4

Greenlight Guru

Best for: Medical device startups and scale-ups
Visit greenlight.guru
Starting priceSee website
Free planNo
Greenlight Guru homepage

Greenlight Guru speaks medical device natively: design controls, DHF management, risk files and complaint handling structured around FDA and ISO expectations. For startups facing their first FDA submission, the pre-built structure replaces months of consultant-built spreadsheets.

Request pricing on greenlightguru.com. The specificity is the value: generic QMS tools can be configured for devices, but Greenlight starts compliant. Pure device companies should shortlist it first.

What we like
  • Built specifically for medical devices: design controls, risk management and FDA 21 CFR Part 820 / ISO 13485 alignment out of the box
  • Templates accelerate compliance
Watch out for
  • The device focus means less for other industries
  • Pricing requires a sales conversation
  • Growing companies may outgrow the templates
#5

Qualio

Best for: Growing life science companies that need QMS fast
Visit qualio.com
Starting priceSee website
Free planNo
Qualio homepage

Qualio targets the gap between spreadsheets and enterprise QMS: life science companies that have outgrown paper but cannot afford a year-long MasterControl implementation. The modern interface and focused module set get teams compliant faster.

See qualio.com for pricing. For Series A to C biotech and growing device companies, the time-to-value argument is strong. Global enterprises with complex needs look upmarket.

What we like
  • Designed for speed of implementation: growing biotech and pharma companies get running quickly
  • Covers documents, training, CAPA and supplier management
  • Modern interface
Watch out for
  • Less depth than enterprise suites for complex global operations
  • Pricing requires engagement
#6

Arena QMS

Best for: Product companies connecting quality to product data
Visit arenasolutions.com
Starting priceSee website
Free planNo
Arena QMS homepage

Arena (now part of PTC) connects quality to the product record: nonconformances and CAPAs link directly to parts and BOMs. For electronics, industrial and product companies where quality issues are engineering issues, that integration matters more than standalone QMS depth.

See arenasolutions.com for pricing. Companies already in the PTC ecosystem get the most value. Pure regulated-industry buyers compare it against the life sciences specialists.

What we like
  • Part of PTC: quality processes linked to PLM product data
  • Strong for electronics and complex product companies
  • Change management tied to the bill of materials
Watch out for
  • The PLM heritage means quality is part of a bigger platform story
  • Pricing requires engagement
  • Less life-sciences-specific than the specialists
#7

QT9 QMS

Best for: Mid-size manufacturers seeking QMS value
Visit qt9software.com
Starting priceSee website
Free planNo
QT9 QMS homepage

QT9 gives mid-size manufacturers the complete QMS toolkit without enterprise pricing: document control, corrective actions, training management, calibration, audits and more. It covers the ISO and FDA-regulated middle market that the big suites price out.

Request a quote on qt9software.com. For the 50-to-500-person manufacturer pursuing ISO 9001 or AS9100, it is the value shortlist candidate. Evaluate support responsiveness closely with smaller vendors.

What we like
  • Full QMS module coverage (documents, CAPA, training, audits, complaints) at mid-market pricing
  • Serves ISO 9001, AS9100 and FDA-regulated manufacturers
Watch out for
  • Smaller vendor than the enterprise names
  • The interface is functional rather than modern
  • Pricing still requires a quote
#8

AssurX

Best for: Configurable QMS across regulated industries
Visit assurx.com
Starting priceSee website
Free planNo
AssurX homepage

AssurX is the configurable workhorse: the same platform handles QMS, EHS and GRC processes across industries. Deployment flexibility (cloud or on-premise) suits companies with IT constraints. The configurability adapts to unusual processes.

See assurx.com for pricing. Like ETQ, the flexibility is both the pitch and the project: budget implementation time. Companies with standard processes may find opinionated tools faster.

What we like
  • Highly configurable platform spanning quality, safety and compliance
  • Serves pharma, device, energy and manufacturing
  • On-premise or cloud deployment
Watch out for
  • Configuration depth means implementation effort
  • The breadth of modules complicates evaluation
  • Pricing requires engagement
#9

ComplianceQuest

Best for: Companies running on Salesforce
Visit compliancequest.com
Starting priceSee website
Free planNo
ComplianceQuest homepage

ComplianceQuest's bet is the platform: if the company runs on Salesforce, quality management lives where the users already are. Document control, CAPA, complaints and audits inherit Salesforce's security, reporting and mobile. The integration story is the strongest here for Salesforce shops.

Pricing requires engagement on compliancequest.com, and Salesforce licensing sits underneath. For non-Salesforce companies, the standalone systems make more sense. For Salesforce companies, the platform logic is hard to beat.

What we like
  • Built on the Salesforce platform: quality data alongside CRM and service
  • Familiar interface for Salesforce shops
  • Covers the full QMS module set
Watch out for
  • The Salesforce dependency is the decision: licensing and platform costs stack
  • Less compelling outside the Salesforce ecosystem
#10

Intellect

Best for: No-code QMS with transparent published pricing
Visit intellect.com
Starting priceFrom $26,000/year
Free planNo
Intellect homepage

Intellect earns its place with rare honesty: actual prices on the page. The no-code platform builds quality apps (and EHS, and operational apps) without custom development, with tiers from $26,000 per year. For the buyer tired of "contact sales," the transparency is refreshing.

The money is still enterprise: $26,000 per year starting. But knowing the starting point before the first sales call changes the evaluation. Mid-size and enterprise buyers who value configurability plus price clarity should include it.

What we like
  • The vendor's own pricing page publishes tiers: Core from $26,000, Operational Control from $32,000, Enterprise Transformation from $47,000 per year
  • No-code platform spans quality, EHS and business apps
Watch out for
  • The published tiers still start at enterprise money
  • The platform breadth means quality is one use among many
  • Smaller teams are not the audience

What to look for in a QMS

Start with compliance fit: the system must support your standard (ISO 9001, ISO 13485, FDA 21 CFR Part 820, AS9100) with validation documentation your auditors accept. Then modules: document control, CAPA, change control, training management, audit management, supplier quality and complaint handling. Gaps in any of these become manual workarounds.

Then the soft factors that decide success: implementation time (weeks versus months), the vendor's validation package, data migration from your current system, and user adoption. The best QMS is the one people actually use: a perfect system that the plant ignores is worse than a good system they open daily. Reference customers in your industry are the strongest signal.

The implementation reality

Buying QMS software is buying a project. Typical implementations run 3 to 12 months depending on modules, sites and validation requirements. Budget for data migration (those binders and spreadsheets do not move themselves), process mapping (the software forces you to define processes you have been improvising), and training.

The common failure mode is buying for the demo: the sales demo shows the happy path, but your CAPA process has seventeen exceptions. Map your actual processes before evaluating, insist on seeing your workflows in the trial, and talk to reference customers about implementation honesty. The software matters less than the implementation discipline.

Frequently asked questions

How much does quality management software cost?

Enterprise QMS is quote-based: expect five to six figures annually depending on users and modules. Intellect publishes tiers from $26,000 per year, which anchors the market. Mid-market options (QT9, Qualio) cost less; enterprise suites (MasterControl, Veeva, ETQ) cost more. Budget implementation separately.

What is the difference between QMS and PLM?

QMS manages quality processes: documents, CAPAs, audits, training, complaints. PLM manages product data: BOMs, CAD files, change orders. They overlap at change management, which is why Arena (PTC) bundles them. Most regulated companies need both; some vendors sell both.

Do small companies need QMS software?

If you are regulated (medical device, pharma, aerospace), yes, eventually: auditors expect controlled systems, not spreadsheets. Start with the mid-market tools (QT9, Qualio) rather than enterprise suites. If you are pursuing ISO 9001 voluntarily, a lighter system suffices until the business grows.

What is CAPA in quality management?

Corrective and Preventive Action: the formal process for investigating quality problems, fixing the root cause, and preventing recurrence. Regulators scrutinize CAPA effectiveness closely. Every QMS here manages CAPA workflows with approvals and effectiveness checks.

Cloud or on-premise QMS?

Cloud dominates new purchases: faster implementation, automatic updates, and vendor-managed validation. On-premise persists where IT policy or data residency requires it (AssurX offers both). Validate the vendor's cloud compliance certifications (SOC 2, ISO 27001) before committing.

How long does QMS implementation take?

Three to twelve months typically: mid-market tools (Qualio, QT9) on the shorter end, enterprise suites (MasterControl, ETQ, Veeva) on the longer end. Data migration and process definition, not software installation, consume the time. Plan for it.

How we chose

We started with the QMS platforms buyers actually evaluate: the enterprise suites, the industry specialists and the mid-market options. For each we opened the vendor's own site and recorded pricing exactly as shown. Intellect's $26,000 starting tier came from intellect.com; the rest required sales engagement, so we wrote "See website." We checked reputations against analyst coverage, user reviews and industry discussion, and we favored systems with proven validation in regulated industries.
