The best AP software

The invoice arrives as a PDF, sits in someone's inbox for six days, gets coded wrong, and gets paid late. Multiply that by four hundred invoices a month and you have the accounts payable problem. These eight platforms attack it from different angles: free all-in-one spend management, global payment networks, AI invoice capture, and deep ERP-native automation.

#1

Ramp

Best for: Companies that want AP, cards and expenses in one free platform
Visit ramp.com
Starting priceSee website
Free planYes (free core tier)
Ramp homepage

Ramp changed the AP pricing conversation by making the core platform free. Bill pay, corporate cards, expense management and procurement live in one system with AI agents handling coding and approvals, and the company makes money on card interchange rather than software seats. G2 reviewers rate it 4.8 out of 5, the highest in this set.

The catch is focus. Ramp is a spend platform with AP in it, not a dedicated AP automation tool: multi-entity global payables and complex PO matching are thinner than Tipalti or Stampli. For a startup or mid-market company that wants one free platform for spend, it is the obvious first look.

What we like
  • Free core tier with 70,000-plus companies on the platform, per the vendor
  • AI agents automate coding, matching and approvals
  • Corporate cards with cashback fund the model
Watch out for
  • AP depth is shallower than dedicated AP tools
  • International payments are less developed
#2

BILL

Best for: SMBs that want proven, straightforward AP automation
Visit bill.com
Starting price$49/user/month (per vendor)
Free planNo (demo available)
BILL homepage

BILL is the incumbent SMB choice: half a million businesses automating financial operations, per the vendor, with $345 billion in annual payment volume. AP automation covers bill creation, approvals, payments by ACH, check, card and international transfer, with AI coding, PO matching and fraud detection. The $49 per user per month starting price is published, which is rare in this category.

The limits show at scale. Multi-entity management and global payables are thinner than Tipalti or AvidXchange, and per-user pricing penalizes companies with many approvers. For a US SMB that wants reliable AP without a sales negotiation, BILL is the safe default.

What we like
  • Published $49 per user per month pricing
  • 500,000-plus businesses on the platform
  • AI invoice coding with 2- and 3-way PO matching and fraud detection
Watch out for
  • Multi-entity and global capabilities trail the enterprise tools
  • Per-user pricing adds up with large AP teams
#3

Tipalti

Best for: Companies paying vendors across many countries
Visit tipalti.com
Starting priceSee website
Free planNo (demo available)
Tipalti homepage

Tipalti is the global payables specialist. Where domestic tools stop at ACH and checks, Tipalti pays millions of suppliers across 200-plus countries in 120 currencies and 50-plus payment methods, with multi-jurisdictional tax compliance, W-9/W-8 handling and supplier self-onboarding built in. AI agents now automate invoice capture, PO matching, approvals and ERP sync resolution.

That power costs money and implementation time. A company paying only US vendors will not use half the platform. For marketplaces, ad networks, publishers and any business with international payees, Tipalti is the category standard and the shortlist starts here.

What we like
  • Payments in 200-plus countries and 120 currencies
  • Tax compliance and supplier onboarding automation
  • AI agents for invoice capture, PO matching and approvals
Watch out for
  • Premium pricing with heavier implementation
  • More platform than a domestic-only business needs
#4

Stampli

Best for: Finance teams where invoice collaboration is the bottleneck
Visit stampli.com
Starting priceSee website (custom quote)
Free planNo (demo available)
Stampli homepage

Stampli's insight is that invoices are conversations: approvers ask questions, AP answers, context gets lost in email. Its invoice workspace keeps every question and decision attached to the invoice itself, and Billy AI learns how the business codes, routes and matches, performing 89 percent of the work on average per the vendor. Seventy-plus ERP integrations mean it adapts to the accounting system rather than replacing it.

The scope is deliberately AP-shaped: no corporate cards, no expenses. Companies wanting one spend platform should look at Ramp. Companies whose pain is invoice approval chaos across departments will find Stampli's collaboration model the fastest fix.

What we like
  • Invoice-as-workspace collaboration model
  • Billy AI performs 89 percent of coding and routing work, per the vendor
  • 70-plus ERP integrations
Watch out for
  • Primarily AP-focused rather than full spend management
  • Payments are an add-on
#5

AvidXchange

Best for: Middle-market companies with complex ERP environments
Visit avidxchange.com
Starting priceSee website (custom quote)
Free planNo (demo available)
AvidXchange homepage

AvidXchange is the middle-market workhorse: AI-powered invoice capture and payments with over 200 ERP integrations, connecting to one of the largest supplier networks. The pitch is infrastructure: a fully managed AP layer that sits on top of whatever ERP the company runs, with real-time visibility and control over the payables process. Industry-specific depth in real estate and construction is a bonus.

Reviewers note the UI shows its age and implementations take longer than the cloud-native upstarts. But when the requirement is "must work with our specific ERP exactly as configured," AvidXchange's integration depth usually wins. Pricing is quote-based.

What we like
  • 200-plus ERP integrations, the deepest here
  • Large supplier payment network
  • 25-plus years of AP data behind the AI
Watch out for
  • Interface feels dated next to newer competitors
  • Implementation runs longer
#6

Melio

Best for: Small businesses that want bill pay without the learning curve
Visit melio.com
Starting priceSee website
Free planNo (demo available)
Melio homepage

Melio is AP automation for businesses that find the enterprise tools intimidating. Pay any business bill by card or bank transfer, automate workflows with AI tools, manage approvals, and send global payments, all in a clean interface. The vendor counts 100,000-plus business owners and $100 billion-plus processed.

The simplicity is the trade: approval chains, PO matching and multi-entity controls are lighter than Stampli or BILL. For a small business whose current process is writing checks or bank transfers manually, Melio is the gentlest upgrade path with real automation behind it.

What we like
  • Simple, approachable bill pay for small businesses
  • Pay by card or bank transfer with global payments
  • 100,000-plus business owners, per the vendor
Watch out for
  • Lighter approval workflows than mid-market tools
  • Not built for complex PO matching
#7

Yooz

Best for: Teams standardizing on AI-driven financial operations automation
Visit getyooz.com
Starting priceSee website (custom quote)
Free planNo (demo available)
Yooz homepage

Yooz sells "lean financial operations": AI-driven AP automation with deep document understanding, flexible workflows and fraud prevention, backed by 250-plus ERP integrations. The numbers are substantial: 7,000-plus customers, 600,000-plus users, 300 million-plus invoices processed. Touchless processing claims exceed 80 percent cost and error reduction.

The vendor's messaging now spans P2P, payments and fraud prevention, so AP buyers should keep the evaluation focused on invoice-to-pay. For a company standardizing one automation layer across complex financial environments, Yooz's integration breadth and AI depth make it a strong contender.

What we like
  • 7,000-plus customers and 300 million-plus invoices processed, per the vendor
  • 250-plus ERP integrations
  • Strong AI fraud prevention and document understanding
Watch out for
  • Positioning has broadened beyond AP, which can confuse evaluations
  • Pricing is custom
#8

MineralTree

Best for: Finance teams that want AP to pay for itself via rebates
Visit mineraltree.com
Starting priceSee website (custom quote)
Free planNo (demo available)
MineralTree homepage

MineralTree's differentiator is economics: virtual card rebates turn AP from a cost center into a revenue line, with one customer citing $80,000 in annual rebates offsetting fees. The company now offers three platforms: Sage Vendor Payments embedded in Sage Intacct, TotalAP for the mid-market, and Inspyrus for enterprise shared-service environments.

The multi-platform structure means matching the right product to the company's size, which the sales team handles. For a Sage Intacct or NetSuite shop that pays a lot of vendors by check today, the rebate math alone often justifies the demo.

What we like
  • Virtual card rebates can offset platform fees
  • Three purpose-built platforms from mid-market to enterprise
  • Deep Sage Intacct and NetSuite partnerships
Watch out for
  • Pricing is quote-based
  • The three-platform structure needs navigating

How we chose

We started with the searches finance teams run: AP automation software, accounts payable software and best AP software. For each candidate we opened the vendor homepage to confirm it is current, checked the vendor's own pricing pages (marking "See website" where the vendor publishes nothing), and weighed G2 and Capterra reviews plus practitioner discussion. Airbase was excluded after its 2025 acquisition by Paylocity. Only live, independent products made the list.

Matching the tool to your invoice reality

AP tools fail when bought for the wrong invoice profile. Under 100 invoices a month with simple approvals: Melio or Ramp's free tier. Hundreds of invoices with departmental approvers: Stampli or BILL. Thousands of invoices across entities: Tipalti for global, AvidXchange or MineralTree for domestic middle-market. Heavy PO matching: confirm 2- and 3-way matching depth in the demo, since marketing claims vary.

The other axis is payment method. Companies still mailing checks get the biggest immediate win from any of these tools: the payment automation alone, with remittance and reconciliation, usually pays back the subscription. Ask each vendor what percentage of your current vendors can be paid electronically on day one.

The hidden costs to ask about

Per-user pricing (BILL's $49) multiplies with approver count: get the all-in number for your actual user list. Implementation fees are common at the mid-market and enterprise tiers. Payment fees vary by method: ACH is usually cheap, virtual cards earn rebates, international wires cost. And check the ERP integration: two-way sync should be included, not a separate line item.

The honest total cost question: software plus implementation plus payment fees minus rebates, over three years. Run that math for two finalists and the decision usually makes itself.

Frequently asked questions

How much does AP automation software cost?

Ramp offers a free core tier. BILL publishes $49 per user per month. The rest quote custom prices based on invoice volume, users and modules. Mid-market deployments typically run from a few hundred to a few thousand dollars monthly; enterprise global platforms cost more.

How long does AP software implementation take?

Simple setups go live in days; Ramp cites one to two weeks with support. Mid-market implementations with ERP integration typically take 4 to 8 weeks. Complex multi-entity enterprise rollouts run 8 to 12 weeks. Data migration and approval-workflow design are the usual long poles.

Can AP software prevent duplicate payments?

Yes. Duplicate detection is standard across these platforms: MineralTree, Stampli and BILL all flag potential duplicates automatically, and Yooz adds AI-driven fraud prevention. In the demo, ask to see exactly how a duplicate invoice surfaces and who gets alerted.

Does AP software replace our ERP?

No. Every tool here integrates with the ERP rather than replacing it: invoices flow in, approvals happen, payments execute, and everything syncs back. AvidXchange offers 200-plus integrations and Yooz 250-plus; confirm your specific ERP version is supported before signing.

What is 3-way PO matching?

It matches the purchase order, the receiving document and the vendor invoice before payment, catching price and quantity discrepancies. BILL, Stampli and Tipalti all support 2- and 3-way matching; Precoro-style depth varies, so test it with a real PO from your system during the trial.
