Best Accounts Receivable Software in 2026: 9 Tools Compared

Key takeaways

  • Chaser (Compact £199/month) and Upflow (free Discover tier) are the accessible picks for SMEs: revenue-based pricing and a real free tier, respectively.
  • Kolleno (Business Pay €650/user/month) is the premium all-in-one AR workspace; the per-user math demands a serious AR team to justify it.
  • Billtrust, HighRadius, Versapay, Tesorio and Gaviti are quote-only enterprise and mid-market suites: budget a sales cycle and an implementation project.
  • Invoiced (now Flywire) lost its self-serve pricing in the acquisition: expect a sales-led quote, not the old published plans.

The best accounts receivable software

Unpaid invoices are an interest-free loan to your customers, and most companies extend it accidentally. Somebody has to notice the invoice is 30 days overdue, send the reminder, make the call, and reconcile the payment when it lands. Accounts receivable software automates that cycle: behavior-based dunning, customer payment portals, cash application, and collections escalation without the spreadsheet. These nine tools cover the real market, from SME credit control to enterprise order-to-cash.

#1

Billtrust

Best for: Mid-market to enterprise finance teams with high invoice volumes
Visit billtrust.com
Starting priceSee website
Free planNo
Billtrust homepage

Billtrust is the order-to-cash suite for companies that send a lot of invoices: electronic invoicing, payment acceptance across channels, automated cash application, and collections workflows in one platform instead of four point tools. ERP integrations run deep across NetSuite, SAP and Microsoft Dynamics, which is where the value compounds for finance teams processing thousands of invoices monthly.

Everything about the commercial model says enterprise: custom quotes, implementation services, annual contracts, and timelines measured in months. A 50-person company does not need this and should not pay for it. It fits the mid-market and enterprise finance team where AR is a department, not a task.

What we like
  • Full order-to-cash coverage: invoicing, payments, cash application and collections in one platform
  • Deep ERP integrations
  • Built for high volumes and complex billing
Watch out for
  • Quote-only enterprise pricing with no public plans
  • Long service-heavy implementations
  • Far more than a small business needs
#2

HighRadius

Best for: Large enterprises with complex, multi-entity receivables
Visit highradius.com
Starting priceSee website
Free planNo
HighRadius homepage

HighRadius applies AI where AR hurts most: cash application that matches payments without remittance data, predictive collections that prioritize the accounts likeliest to pay, and deduction management for the dispute-heavy. The platform stretches beyond AR into treasury and close, which suits large finance organizations consolidating systems. Integrations cover the enterprise ERP landscape.

The budget conversation is six figures annually plus implementation, so the math only works with serious AR volume and complexity. Multi-year enterprise agreements are the norm, and the platform needs dedicated administrative resources. This is software for the Fortune 1000 AR operation. Everyone else should be looking at the mid-market tools below.

What we like
  • AI-driven cash application, collections, deductions and credit risk modules
  • Extends into treasury and financial close
  • Integrates with SAP, Oracle, NetSuite and Dynamics
Watch out for
  • Enterprise-only quote pricing
  • Complex platform needing dedicated admins
  • Implementations measured in months
#3

Versapay

Best for: Mid-market B2B companies wanting customers to collaborate on payments
Visit versapay.com
Starting priceSee website
Free planNo
Versapay homepage

Versapay's differentiator is the collaboration layer: instead of dunning emails into the void, customers and suppliers work in a shared portal to resolve invoices, disputes and payments together. Underneath sits standard AR automation: electronic invoicing, ERP-integrated payments, and automated cash application. Integrations cover NetSuite, Dynamics 365, Sage Intacct and others.

Every deal is quoted, so benchmarking takes vendor calls, and the sales process is mid-market enterprise in style. The brand is smaller than Billtrust or HighRadius, which matters for reference-checking. It fits the B2B company whose collections problem is really a communication problem: disputes and questions, not just late payments.

What we like
  • Buyer-supplier collaboration network on top of AR automation
  • ERP payment integrations
  • Electronic invoicing with automated cash application
Watch out for
  • No public pricing
  • Sales-led buying process
  • Narrower brand footprint than Billtrust or HighRadius
#4

Chaser

Best for: SMEs on Xero, QuickBooks, Sage or NetSuite (£1M-£100M turnover)
Visit chaserhq.com
Starting price£199/month (Compact plan)
Free planFree trial (10 days, all plans)
Chaser homepage

Chaser prices on your revenue, which is refreshingly aligned: Compact at £199 per month covers businesses up to £4M annual revenue with 4 users and 30 templates, and a 10 percent discount applies on annual billing. The product covers the full credit-control cycle: behavior-based email and SMS workflows sent from your own address, a payment portal with installments, and escalation to Chaser's own collections service without switching tools. Xero, Sage and QuickBooks sync in about five minutes.

The catches: GBP billing for US buyers, tier jumps when you cross a revenue band (Core is £599/month), and letters cost extra. But for the SME that wants dunning, portal, and collections in one subscription with published pricing, Chaser is the most transparent option in AR software. The 10-day trial needs no setup.

What we like
  • Pricing scales on your revenue, not per user or per invoice
  • Multi-channel chasing (email, SMS, letter, calls) from your own address
  • Built-in collections service and outsourced credit control in the same platform
Watch out for
  • UK vendor billing in GBP adds currency friction for US buyers
  • Revenue-band jumps push growing companies up tiers
  • Physical letters are a paid add-on
#5

Kolleno

Best for: Scaling B2B businesses with dedicated AR staff
Visit kolleno.com
Starting price€650/user/month (Business Pay plan)
Free planFree trial
Kolleno homepage

Kolleno is the premium AR workspace: a collections inbox your team actually wants to open, a customizable payment portal with multiple payment methods, and auto-reconciliation back to the ledger. It looks and feels like modern SaaS rather than enterprise software, which matters for the AR staff living in it daily. Higher tiers add AI agents and connectors for NetSuite, Dynamics, SAP and Oracle.

The pricing math is the whole story: Business Pay at €650 per user per month means a five-person AR team pays €3,250 monthly before add-ons, and Business Plus jumps to €1,245 per user per month above €10M turnover. That demands a serious collections operation to justify. It fits the scaling B2B company where AR staff cost more than the software. Smaller teams should start with Chaser or Upflow.

What we like
  • Polished all-in-one AR workspace: collections inbox, customizable payment portal, auto-reconciliation
  • AI agent support on higher tiers
  • Enterprise ERP connectors on top tiers
Watch out for
  • Steep per-user pricing that multiplies fast
  • Plans gated by turnover bands
  • EUR-denominated pricing for US buyers
#6

Upflow

Best for: Startups and scale-ups on modern billing stacks
Visit upflow.io
Starting priceFree (Discover plan); paid plans See website
Free planYes (Discover free forever)
Upflow homepage

Upflow's free Discover tier is genuinely useful: AR analytics and benchmarking with no commitment, which no competitor offers. Paid plans (Grow, Scale, Strategic, sized by ARR bands) add the full workflow: multi-channel dunning, payment portals, and unlimited users. The billing-stack integrations are the strength: Stripe Billing, Chargebee and Zuora connect natively, so subscription businesses get collections layered on their existing billing.

The honest catch is the sales wall beyond free: no published paid prices, and third parties estimate paid tiers starting around $440/month. The free tier does not chase anyone; it only shows you the problem. It fits the startup that wants AR visibility today and workflows tomorrow. Connect Xero, QuickBooks or your billing platform and the analytics go live in days.

What we like
  • Free-forever Discover tier with real AR analytics and benchmarking
  • Unlimited users on paid plans
  • Strong billing integrations (Stripe, Chargebee, NetSuite, Xero, QuickBooks) with multi-channel dunning
Watch out for
  • Paid prices unpublished and sales-led
  • ARR-band sizing signals mid-market targeting
  • Free tier is analytics-only
#7

Tesorio

Best for: Mid-market and larger finance teams wanting collections plus cash forecasting
Visit tesorio.com
Starting priceSee website
Free planNo
Tesorio homepage

Tesorio answers the question every CFO asks: when will we actually get paid. AI predicts payment dates per customer and turns those predictions into cash-flow forecasts, alongside standard collections automation and a customer payment portal. For finance teams managing working capital tightly, the forecasting is the product and collections is the delivery mechanism.

Budget accordingly: third-party deal data puts entry in the tens of thousands per year, with annual platform fees plus per-user and module costs. The sales cycle is enterprise-length and setup runs weeks to months with ERP integration. It fits the mid-market company where cash forecasting drives decisions. If you just need dunning, it is overkill.

What we like
  • AI payment predictions with AR forecasting and cash-flow analytics
  • Customer payment portal (Financial Care Center)
  • Connects to NetSuite, Sage Intacct, Salesforce, Workday and Zuora
Watch out for
  • Enterprise quote-based pricing
  • Longer sales cycle
  • Aimed above the small-business segment
#8

Gaviti

Best for: Mid-market AR teams that want unlimited seats without per-user math
Visit gaviti.com
Starting priceSee website
Free planNo
Gaviti homepage

Gaviti's pitch is breadth without seat math: unlimited users and workflows from the entry Standard edition, covering dunning, a customer portal, dispute routing, credit management and AI-assisted cash application. For AR teams tired of per-user pricing punishing collaboration, the model is attractive. Onboarding is hands-on, with the vendor mapping your collections process over weeks.

Three editions (Standard, Pro, Expert) are all custom-quoted by feature scope, so budgeting needs a scoping call, and the sales motion leans enterprise. It is a smaller vendor than Billtrust or HighRadius, so reference accordingly. It fits the mid-market AR team that wants one system for the whole receivables job and does not want to count seats.

What we like
  • Unlimited users, clients, contacts and workflows even on entry Standard
  • Collections, dispute and deduction management, credit monitoring and AI cash application in one system
  • ERP-agnostic with hands-on onboarding
Watch out for
  • All pricing quote-based across three editions
  • Enterprise-leaning sales process
  • Smaller vendor than the suite players
#9

Invoiced (now part of Flywire)

Best for: SMB to mid-market companies wanting invoice-to-cash with payments built in
Visit invoiced.com
Starting priceSee website
Free planFree trial
Invoiced (now part of Flywire) homepage

Invoiced was the self-serve AR darling before Flywire acquired it in 2021, and the product remains strong: automated email, letter and text dunning, a modern customer portal, and integrated payment processing with a real API for programmable billing. Integrations cover the standard ERP and accounting landscape.

The post-acquisition reality is the catch: standalone published pricing is gone, deals are custom-quoted, and old pricing figures floating online no longer apply. Expect a sales conversation and payment processing fees on top of the platform fee. It still fits the SMB-to-mid-market company that wants dunning plus payments in one system, but budget it like enterprise software now.

What we like
  • Full A/R cloud: invoicing, automated dunning, customer self-service portal and integrated ACH/card payments
  • Programmable API
  • Integrates with NetSuite, QuickBooks, Xero and Salesforce
Watch out for
  • Post-acquisition pricing is sales-led and custom-quoted
  • Historical pricing figures online are inconsistent
  • Payment processing fees sit on top

How we chose

We started with the searches buyers actually run: best accounts receivable software, AR automation software, and best credit control software. For each candidate we checked the vendor's own pricing page first, then cross-checked plan names and prices against independent reviews and practitioner discussion, and compared dunning depth, payment portals, cash application, ERP fit and company-size fit. Where a price could not be verified on the vendor's page we wrote "See website" rather than repeating estimates. The shortlist spans SME credit control to enterprise order-to-cash because a 20-person business and a multinational are not buying the same thing.

The dunning ladder: match the tool to the problem

AR problems come in stages, and the tool should match the stage. Stage one is visibility: knowing what is overdue and by how much. Upflow's free Discover tier and your accounting software's aging report cover this at zero cost. Stage two is systematic chasing: behavior-based reminders across email and SMS, which is Chaser's and Upflow's paid bread and butter. Stage three is payments: portals, installments and integrated processing so customers can pay without friction. Stage four is scale: cash application, dispute workflows and forecasting, which is Tesorio, Gaviti and Kolleno territory. Stage five is enterprise order-to-cash: Billtrust and HighRadius.

Buying stage five for a stage two problem is the classic AR mistake, and vendors will happily let you make it. Map your overdue volume, dispute rate and team size honestly before the demo. A company with 200 open invoices and one part-time collector needs Chaser, not HighRadius.

Frequently asked questions

How much does accounts receivable software cost?

SME tools publish prices: Chaser Compact £199/month, Upflow Discover free, Kolleno Business Pay €650/user/month. Mid-market and enterprise (Billtrust, HighRadius, Versapay, Tesorio, Gaviti) are quote-only, with third-party data suggesting tens of thousands to six figures annually. Payment processing fees are always separate.

What is the difference between dunning and collections?

Dunning is automated reminding: email, SMS and letter sequences that escalate politely as invoices age. Collections is the next step: a human or agency pursuing seriously overdue debt. Tools like Chaser bundle both, with escalation to their own collections service inside the platform. Automate dunning first; collections is for the invoices dunning cannot move.

Can AR software integrate with QuickBooks or Xero?

Yes, across the board. Chaser, Kolleno, Upflow, Gaviti and Invoiced all sync with QuickBooks Online and Xero; the enterprise suites connect to NetSuite, SAP and Dynamics. Chaser's Xero and QuickBooks sync takes about five minutes. Confirm two-way sync (payments reconciled back to the ledger) rather than one-way invoice import.

How do we get customers to actually use the payment portal?

Make it the path of least resistance: put the portal link in every invoice and reminder, offer installments for large balances, and accept the payment methods your customers prefer (ACH for US B2B, cards for smaller balances). Portals fail when they are harder than mailing a check. The best adoption lever is dunning emails that link straight to the outstanding invoice.

Should we outsource collections or keep it in-house?

Keep early-stage chasing in-house and automated: most overdue invoices pay with systematic reminders. Outsource or escalate the tail: invoices 90-plus days overdue with unresponsive customers. Chaser's built-in collections service and Gaviti's escalation workflows let you do both without changing platforms.

When to call it: writing off bad debt

Every AR system eventually faces the invoice that will not pay, and the software should support the decision, not just the chase. Good practice: age-based escalation (reminders to 60 days, firm demands to 90, collections or legal beyond), documented dispute handling so write-offs are clean, and reporting that shows recovery rates by stage. The data tells you where the process breaks: if 80 percent of 90-day invoices never pay, the problem is credit policy, not collections.

For US businesses, remember the tax side: bad debts from actual sales of goods or services are generally deductible as ordinary business losses when they become worthless, which is a conversation for your CPA, not your software. The software's job is the paper trail: every reminder, promise and dispute logged, so the write-off is defensible and the lesson is visible.
