Most teams never add up what a meeting actually costs, because the expense never shows up as a line item anywhere. It is buried inside everyone's salary, spent in silence every time a recurring call goes ahead out of habit rather than necessity. This calculator turns attendee count, average pay and meeting length into an actual dollar figure, so you can decide if a meeting is worth what it costs.
The calculator converts each attendee's annual salary into an hourly rate by dividing by 2,080, which is the standard number of working hours in a year for a full-time employee working 40 hours a week across 52 weeks. It multiplies that hourly rate by the number of attendees and by the meeting length in hours to get the cost of a single meeting. If the meeting repeats, that single cost gets multiplied again by how many times it happens in a year, weekly, every two weeks, or monthly, to show the annual total.
A one-hour weekly meeting with six people earning an average of 75,000 dollars a year costs roughly 216 dollars each time it happens, which does not sound like much. Multiply that by 52 weeks and the same meeting costs over 11,000 dollars a year, and that is before counting the time spent preparing for it or catching up afterward. A single recurring meeting on a shared calendar can quietly become one of the more expensive habits in a company, simply because nobody ever converted the hours into a number.
The point of putting a dollar figure on a meeting is not to eliminate meetings outright, some are genuinely worth the cost. It is to make the tradeoff visible before the invite goes out. A useful habit is to run the calculator before scheduling anything recurring, then ask whether the decision or update being made is worth that amount every time it repeats, or whether a shorter meeting, a smaller attendee list, or a written update would get the same result for less.
