How the totals are calculated

Each line item's total is quantity multiplied by unit price. The subtotal is the sum of every line item, tax is the subtotal multiplied by your tax rate, and the total due is the subtotal plus that tax amount. Every field recalculates instantly as you type, so you can adjust a quantity or add a line and immediately see the effect on the final total.

Turning this into a PDF

The Print / Save as PDF button opens your browser's normal print dialog with only the invoice itself visible, the rest of the page is hidden automatically. From there, choose Save as PDF instead of a physical printer, which is built into every modern browser's print dialog on both desktop and mobile, and you get a clean PDF file with no watermark or extra software required.

What a complete invoice needs

At minimum, an invoice needs your business name, the client's name, a unique invoice number, the date it was issued, and a clear breakdown of what is being charged. A due date sets expectations for when payment is expected, and a sequential invoice numbering scheme, like the INV-1001 example here, makes it easy to track which invoices are outstanding and avoids ever reusing a number by accident.
